The application lets you perform actions defined by individual retention events. These actions are performed based on the information gathered by a File Part Disposition Eligibility report or a Box Disposition Eligibility report.

For example, after generating a report to determine all file parts which must be archived today, use the application to mark these items as Archived. The record status of a file part or box is automatically updated based on the parameters defined in the retention event.

To process a retention event on a file part or box:

  1. Start the application.

  2. On the toolbar, select Disposition.

  3. Update the following fields:
    NOTE: The Vendor field may be displayed. For more information, refer to Setting or changing the warehouse vendor for boxes.

    • Event Type: Scan or select  and then select the retention event. The retention event you choose determines the action taken on the file part or box.
      NOTE: You can't process a trigger using the application. Triggers can be processed using IRM Desktop Client for Records Managers. For more information, refer to IRM Desktop Client for Records Managers User Guide.

    • New Home Location: Scan or select  and then select the new location of this file part or box. The new location may be specified by the retention event, or may be defined by your organization policies. Leave the field blank if the item doesn't need to be relocated to a new location.

    • Item: Scan the barcode ID or enter the fully qualified ID (for example, 01.001.MEM) for the box or file part.

  4. Press the Tab key or select Process.
    The action and results are displayed in the History pane. The record status of the top-level items contained in the file part or box is updated, and is displayed in the Item Contents list.

  5. To print a report of the results of this action, refer to Printing History.
