File Part Disposition Eligibility reports search for and provide a list of file parts that are eligible for a specific action on a specific date and satisfy the conditions described in Searching for Disposition Eligibility.
TIP: The Precalculated File Part Eligibillty Report offers the same functionality as this report, but with faster report generation. Refer to Generate Precalculated File Part Eligibility Report.
On the toolbar, select New Report. The New Report dialog opens.
From the Category list, select Files. A list of available report formats appears in the Formats list.
From the Formats list, select File Part Eligibility Report. The grouping associated with this format is displayed below the Formats list.
From the Sort by list, select a sort order for the report.
Select Set Report Criteria. The Search Retention Event Eligibility for Files dialog opens. It enables you to enter any specific information to limit the scope of the report.
In the Event type field, select or enter the type of event. Only file parts that are eligible for this type of event are returned in the report.
In the Eligibility date field, specify the event eligibility date. File parts that are eligible for the event as of the specified time frame are returned in the report.
As of Today: Eligible on any day until today.
Between: Eligible within the specified date range.
Until: Eligible on any day until the specified date.
From: Eligible on any day from the specified date.
To specify additional criteria, complete any of the other fields in the Search File Disposition Eligibility dialog.
Select OK to return to the New Report dialog.
To print a representation of the report criteria in the report header, select the Print criteria check box.
To change output options, select the Output drop-down list and select one of the following options:
Generate Preview
Generate Preview and Open Print Dialog
Generate Preview and Print
Generate PDF
Generate XML
Generate CSV
To save this report in the Saved Reports node:
Select the Save this report as check box.
In the Name field, enter a name for this saved report.
Select OK. The report is generated and appears in Report View (unless Generate as PDF, Generate CSV, or Generate as XML was selected, in which case the file is created and can be saved directly).
