1. In the Records Activities pane, select Boxes.

  2. Right-click the box, and select Properties. Alternatively, select the box and press the Enter key.

  3. In the Edit Box dialog, update the following fields:
    NOTE: To simplify data entry, individual fields can be locked. To save the information that you entered in the field, press Ctrl+L. Locked fields are marked in yellow. To unlock a locked field, press Ctrl+U.        

    • Select  and then select:

      • Client: The client from the Browse and Select dialog.

      • Matter: The required matter from the Browse and Select dialog.

      • Office/Department: The location or group most responsible for the box.

      • Responsible attorney: The user that has control over the box.

      • Retention schedule: A retention schedule is necessary only to manage eligibility at the box level. This helps you to verify that both the box contents and the box itself are eligible.

      • Home location: The location where the box is stored when not in circulation.

      • Vendor: If this optional field is shown, you can select a warehouse vendor identifier for the box.

      • ID: Enter an ID for this box; if you don't, the application automatically generates the ID.

      • Name: Enter a name for the box.

      • Description: Enter a short description of the box.

      • Media type: Select the media type to differentiate the boxes (small or large).

      • Percent full: Estimate the current used capacity of the box based on a percentage (0–100). This figure helps determine if a new box must be created.

      • Retention start date: Select the date to start the schedule.

      • Open date: Enter the earliest open date for any of the items stored in the box. This field is for informational purposes and is used only to show the date ranges of the items stored in the box.

      • Close date: Enter the latest close date for any of the items stored in the box. This field is for informational purposes and is used only to show the date ranges of the items stored in the box.

      • Comments: Enter any relevant comments for the box.

  4. Select OK.
