Trigger processing is used to manually update the Retention Start Date (or other configured date) and record status to jump-start a retention schedule. For example, a contract may remain in the active state until the Contract Execution trigger puts it into the Executed state, moving it on to the next step in the retention schedule.
NOTE: You must have the Process Trigger Events privilege to perform this action.
Rules for processing triggers
A trigger can be processed only on file parts, and not on boxes.
No search is required to find eligible file parts.
File parts don't require a prerequisite status to be eligible for trigger processing.
A trigger can't be used to destroy file parts.
A trigger can be processed at any time as it's based on an external action.
A trigger must have a trigger date, a defined date property, such as the Retention Start Date, which is updated when processing occurs.
To process a trigger on file parts:
Search or browse for the file parts.
Right-click the file parts, and select Process Triggers.
In the Trigger Processing dialog, choose if you want to process the trigger only on the selected items, or all items found in the search performed in Step 1.
In the Selected Trigger field, select and then select one of the available triggers.
In the Effective Date field, select the date to set the trigger.
Select Process. The results are displayed in the Results pane of the dialog.
Select Close.
NOTE: Each time a trigger is processed, an entry is added to the audit history for the item it's processed on.
