If you have been assigned an applicable role, you can add users to asset (client, client group, matter and case) teams from the Users / Roles tab. You can add a user to the asset team only as a team member but not as a support staff or a responsible attorney.


  1. Select Users / Roles in the left navigation pane.
    The Users page with the list of users / groups appears. 
  2. Select on the row of the user who you want to add to the asset team.
    The <User name> - Details page appears.
  3. Select Teams tab.
    The Teams page appears. You can view the list of assets (clients, matters, client groups and cases) that the user is already a member of. If the user is excluded from any assets in the Teams list, a banner is shown above the asset list, with an option to view only the excluding assets. Such assets are shown with a visual indicator, for example . Select this indicator to view the exclusion details for that asset.

  4. Select Add to Team. The Add to Teams dialog box appears. The list of all the clients, client groups, and cases is populated.

  5. To add the user:

    1. Select the check boxes next to the assets or select the required rows to select the assets. 
    2. Select OK.
      • If the user is conflicted on any of the listed assets, a warning message displays advising that, if added, the user will not have access to content for the given conflicted asset. You can nonetheless proceed to add such users to the asset team.
      The user is added as a team member to these clients, client groups and cases. 
  6. To add a user as a team member of specific matters under a client, client group, and case, do the following:
    1. In the Teams page, select Add to Team. The Add to Teams dialog box appears. The list of all the clients, client groups matters, and cases is populated.

      • You can also select View Matters next to a client, client group or case, to view the list of all matters under the selected client, client group or case that are not inherited (in case of cases) or secured (in case of clients or client groups).

    2. Select the check boxes next to the matters or select the required rows, to select the matters.
      1. If you check the Select All checkbox at the top of the list, then only the 10 matters that are displayed on the page are selected. 
      2. You can view count of unselected matters under the parent asset in the Select 'x' remaining items link, where 'x' is the count of unselected matters. As you select matters, the count keeps reducing to reflect the updated unselected matter count. 
        1. Select the Select 'x' remaining items link to select all the matters under the parent asset. 

        NOTE:

        To clear all selected items, select the x Matters from <Asset Name> check box, and then select Deselect.

        To clear specific matters, select the check boxes next to the matters, and then select Deselect.

        If you had selected all matters, and clear the selection of one or more matters on a page, then only the matters on that page, minus the ones you cleared, remain selected. For example, the parent asset has 100 matters and you select all of them. These matters are displayed in 10 pages, with 10 matters on each page. If on page 1 you clear the check box against the first matter, then only the remaining 9 stay selected. The system clears the selection of the other 90 matters on the other pages as well.

      3. Select OK.

        • If the user is conflicted on any of the listed assets, a warning message displays advising that, if added, the user will not have access to content for the given conflicted asset. You can nonetheless proceed to add such users to the asset team.
    3. You can optionally add a comment in the Reason field about why the user was added. This reason is subsequently visible in the Timeline tab of the relevant assets.
    4. The user is added as a team member to the selected assets.

    NOTE:

    The update process may take a while depending on the volume of the transaction. You can view the progress by selecting the icon next to the user name ().

    The Active tab displays the the task progress and the percentage of completion (). If the task is yet to start processing, it is indicated thus:

    The Failures tab displays the list of all unsuccessful tasks with the date and time of completion. If any task has failures, then it is represented with a red dot as follows:

    To know the reason for failure, select View Details. The Task Failure Details pop-up window appears displaying the list of all the assets where the updation failed with the reason of failure.

    After you have viewed and understood the reasons for failure, in the Failures tab, select Clear Completed Tasks to clear display.

  7. To view the other staffing information of an asset, select  on the row of the client, client group, case or matter. Then, select View Staffing Details.
    Alternatively,
    Check the checkbox next to the client, client group, case or matter or directly select the rows of the client, client group, case or matter. Then, select View Staffing Details. The Staffing page of the selected asset appears.

    NOTE:

    You can view the staffing details of only one asset (client, client group, case, or matter) at a time.
