Adding Name Prefixes and Suffixes

When creating a workspace, a name is assigned to the workspace itself and to each container. The workspace creator assigns the workspace name. The containers names are defined initially by the workspace template. Custom folders, those not defined by the workspace template or those not enforced through flexible folders, are each named at the time of their creation. For all cases, the name is a literal value.

Names of containers can be modified during creation to add specified text either as a prefix or suffix. The prefix or suffix can be a literal, such as (London Office), and would appear for a folder named Contracts as (London Office) Contracts or Contracts (London Office).

The prefix or suffix commonly is a custom1 and custom2 (client and matter respectively) value. Alternately, it can be the description for custom1 or custom2. Any of custom1 through custom12, custom29, and custom30 or their descriptions can be used. For example, the client and matter may be added as a suffix to easily identify the container's purpose. If the folder is named Contracts, this may be like Contracts (001-1005). It may be added as a prefix, like (001 1005) - Contracts.

To add these, use variable prefixes or suffixes. If prefixes and suffixes are specified, they are added to all containers created by the same template that are enforced with flexible folders.

Use this to add a prefix or suffix to a workspace or folder name.

Within iManage Control Center, navigate to Templates page (Settings > Templates).

  1. Select either Workspace Prefix/Suffix or Folder Prefix/Suffix text box.

  2. Select Prefix or Suffix from the list button.

  3. Enter the value:

    1. If this is a literal, enter the value in the text box. For example, enter (Mergers) -. When the workspace is created from this workspace template, (Mergers) - is prepended to the workspace name.

    2. If this is a variable, enter the expression in the text box. The expression may also include additional text. For example, enter the prefix ( #C1ALIAS#) -. Assuming that custom1 alias is 001, when the workspace is created from this workspace template, (001) - is prepended to the workspace name. See Variable values for names.

Additional text may be included. For example, the expression (#C1ALIAS#): includes the two parenthesis, and a colon.

The text is always included even if no expression is provided. For example, the variable could be (Mergers):.

The specified custom property must be one displayed in the properties region of the dialog box (highlighted inside the box in figure above).

If the specified custom property is not one displayed, the expression will resolve as blank text.

If the specified custom property description is not one from one of the custom properties displayed, or the description is empty, the expression will resolve as blank text.

If either case of the value being blank, the displayed value includes the specified text but the expression will be blank. For example, if the expression is (#C1ALIAS#): and custom1 is not one of the properties displayed, this expression resolves as ():.

Some environments use % instead of # symbols, but % is not supported in some legacy environments.
