Type

NOTE:

This application is available to NRTAdmin users.

Every document in an iManage database is identified by an iManage document type. Document type is part of the profile information. iManage uses this information to associate documents with their native applications. Each document type can be mapped to an application, and the mapped application is used to open or view the document. Multiple document types can be mapped to the same application.

Documents can only be opened in their native application from iManage Work Desktop for Windows. iManage Work for the Web or iManage Work Desktop For Macintosh does not open documents this way. From within iManage Work Desktop for Windows, double click the document. A mapped document type opens with its associated application. However, that association is checked first in the Windows settings, then iManage Work. For example, if document type .txt is mapped to Notepad by Microsoft Windows and to Microsoft Word by iManage Work, a .txt file opened through iManage Work displays in Notepad. In contrast, a company may have a custom document type of .dlw that is mapped to Microsoft Excel. Opening this document displays in Excel because Microsoft Windows has no mapping for it.

The following features are available for Type:

  • Ability to search Type: Allows you to enter the document type to be searched.

  • Ability to filter Type:Allows you to filter Types. Select

    to filter by DMS Extension, App Extension, and HIPAA Compliant. You also see Clear All option. This helps you to clear filter inputs.

  • Ability to view selected Type: You see VIEW SELECTED option on the ribbon bar. This allows you to view the list of types that you have selected. When you s elect this button on the ribbon bar, you see SHOW ALL button, s elect this to see the previous list.

Adding Document Type

  1. Select Configure > System Setup > Type.

  2. Make sure no items are selected.

  3. Select images/download/thumbnails/51165270/image.gif to add a document type. Add Type page appears.

  4. Enter the information and s elect Save.
    A new document type is added.

    Description

    Description

    Textual or friendly description of the document type.

    Alias

    Name by which documents of this type are identified in iManage. This alias, called type in File Handlers, will be used in the File Handlers to associate the document type to an application. It must be eight characters or less with no spaces.

    Example: ACROBAT

    DMS Extension

    Filename extension that iManage uses to store a document of this type on the file server. The default value is %V. If %V is entered as the DMS Extension, iManage uses the document’s version number as the file name extension.

    Example: If document number is 157, document version is 2, and %V is the DMS extension, then iManage will store the file as 157.2 on the file server.

    App Extension

    Extension that iManage should add to the filename for the document when it is exported, checked-out, e-mailed or downloaded. iManage recommends setting the Application Extension for a document type to that recognized by the document's native application.

    Example: Use .doc for a Word document. You can use the same extension for multiple document types, such as .doc for Word 97 and Word 2003.

    HIPAA compliant

    Enables encryption of the documents that are compliant with HIPAA.

Editing Document Type

  1. Select the document type you want to edit.

  2. Select Edit.The Edit Type page opens.

  3. Edit the fields, and s elect Save.

Deleting Document Type

  1. Select the document type you want to delete.

  2. Select images/download/attachments/51165270/Screen_Shot_2018-02-01_at_12.36.05_PM.png , and s elect Yes. The type gets deleted. You can also delete multiple types. To do this, select all types, right-click, and select images/download/attachments/51165270/Screen_Shot_2018-02-01_at_12.36.05_PM.png option or s elect images/download/attachments/51165270/Screen_Shot_2018-02-01_at_12.36.05_PM.png on the ribbon bar.

    NOTE:

    An error message Database transaction failed; see Administrator appears, if the class you are trying to delete is still in use by any other object.
