The Records Manager client application lets you run reports based on predefined Sort orders. A single report can have multiple sort options defined so that users can select the desired sort when the report is run. Reports Designer lets you specify or define sort orders for the different report formats. You can sort the report data using multiple sort fields and any combination of ascending or descending sort orders.

The steps to modify the sorting parameters are described here with the help of the Client/Matter Summary Report. The procedure is the same for all the reports.

NOTE: To modify report settings, the data model must be in draft mode. For more information, refer to Working on a Draft.

To modify the sorting parameters:

  1. In the All Reports pane, expand the Files node and locate the Client/Matter Summary Report. The report layout is loaded in Report Designer.

  2. On the Report tab, select the Sorting  icon.

  3. In the Sorting Options dialog, the existing sort orders for the selected report are loaded under the Sort Configurations list.
    You can choose from the list of Sort Configurations defined for the selected report and then select OK. The selected sort configuration is shown for the report.
    By default, the byID sort configuration is available for the Client/Matter Summary Report. You can modify the byID sort order or add a new sort order.

  4. To modify the byID sort order, select the byID sort order from the list.

  5. From the Select the fields to sort list, select the fields to sort, and then select Add. The selected field is added to the Selected sort fields list.

  6. If required, you can change the sort order from Ascending to Descending for the added sort fields.

  7. To add a sort order, select New Sort Order. A sort order is added to the list under Sort Configurations and the title is editable, so that you can name the added sort order.

  8. Enter the name byFolderName for the new sort order.

  9. From the Select fields to sort list, select the Name field, and then select Add. The Name field is added to the Selected sort fields list.

  10. Select Descending as the Sort order. The added sort field has the default sort order set to Ascending. You can change the sort order to descending by selecting from the Sort Order list.

  11. You can rename an existing sort configuration. Select the configuration from the Sort Configuration list and then select Rename to rename an existing sort configuration. The title becomes editable, and you can rename the sort configuration.

  12. You can delete an existing sort configuration. Select the configuration from the Sort Configuration list, and then select Delete to remove an existing sort configuration.

  13. Select OK to save the settings and exit.

  14. On the toolbar, select Save.

  15. After the datamodel changes are published to the server. The New Report dialog in the client application shows the added Sort order for the Client/Matter Report format.
