Reports in the Records Manager client application display grouped information under different group headers. Reports Designer lets you define and modify the parameters for these groupings.
For example, in Reports Designer, the File Plan Summary report has two group headers—Client Header and Matter Header.
All the properties related to Client are grouped under the Client Header section and likewise the properties related to Matters under the Matter Header section. By default, the property or grouping specified in the Manage Grouping dialog for the File Plan Summary report are Client ID and Matter ID.
So, when the report is generated, all the file parts with the same Client or Matter ID are listed under that Client or Matter ID Header. When the Client or Matter ID value changes, the header value also changes. The reporting engine ensures that the header isn't repeated.
Grouping used in combination with group headers in the report design helps you to design a report that displays information in a grouped manner. For more information about how to add a group header, refer to Inserting a Group Header.
The steps to add or modify the grouping parameters for a group header are provided in this section.
To manage groupings for a report:
From the All Reports pane, select a report. The report layout is loaded in the designer.
On the Report tab, select the Grouping icon. The Manage Grouping dialog opens.
The Available Fields for Grouping list contains all the fields that are available for and support grouping. The fields selected as groupings are loaded in the tree view under the Selected Groupings list.From the Available Fields for Grouping list, select a field and then select Add to add the field as a grouping for the report. Use the Move up and Move Down buttons to move the groups up or down in the Selected Groupings list.
The number of group headers in a report and the number of groupings in a report have a one-to-one and direct relationship. The first header and the first grouping that you add in the Manage Group dialog are automatically associated (refer to Inserting a Group Header). The Group Field property in the Properties pane indicates the association with the grouping.
If the number of selected groupings in the Grouping Options dialog doesn't match the number of groupings present in the report, then Reports Designer prompts you with a message, and doesn't auto-assign the Group Field value. In such a case, you've to manually assign the value for the Group Field for each group header, so that proper grouping takes place.To remove a field as a grouping for the report, select a field from the Selected Grouping list and then select Remove.
Select OK to save the settings and exit.
Select Save on the toolbar.
