The Bulk Update action enables you to modify the properties (metadata) of a large volume of records. This function is especially useful during reorganization (changing the Home Location), and during policy change (assigning new retention schedules).

NOTE: You must have the File Plan Admin privilege or the Bulk Update privilege to perform this action.

The command is available only for selected items and properties (metadata).

Rules to perform a Bulk Update

The following rules are applicable when performing a bulk update:

  • Can't update different types of items (matters, file parts, and boxes) in one common operation.

  • Changes made to the retention schedule for an item aren't automatically propagated to the sub-items. They need to be manually applied to them.

To perform a bulk update:

  1. In the Navigation pane, select the Records tab.

  2. Search or browse for matters, file parts, or boxes.

NOTE: Ensure that the rules mentioned in Rules to perform a Bulk Update are followed before performing a bulk update.

  1. Select items of the same type.

  2. On the Action menu, select Bulk Update. The Bulk Property Edit dialog opens.

  3. Select if you want to update only the selected items, or all items found in the search performed in step 2.

  4. Select the  icon and then select new values for any of the properties (metadata).
    Not specifying values for some properties doesn't change them to blank.

  5. To change the current value of a property to blank, select the Set to blank check box. 

  6. Select Process. The action and results open in Results pane of the dialog.

  7. On the Bulk Update Result dialog, select Done to return to the Bulk Property Edit dialog.

  8. Select Close.

Each time a bulk update is performed, a Bulk updated entry is added to the audit history for the item, detailing the updated properties.

NOTE: Home Location, Name, and Description fields can't be set to blank.
