Application provides extensive search capabilities to help you screen and sort through large volumes of records.

Text searches

Text searches locate file plan items and boxes based on the occurrence of search terms. You can enter the ID of the item, or text contained in the name, description, or comments of it.

NOTE: The thesaurus expansion feature is enabled by default when performing text searches. It can be disabled by adding a prefix "=" (equal to) to the search term. For example, a text search on iManage returns related terms, which open on the Thesaurus Expansion tab. But, a text search on =iManage doesn't return any related terms.

Records are critical assets that need to be stored for a certain period of time. Terminology, client names, and key contacts can significantly change during this period, making it difficult to locate old records. A thesaurus helps to relate the nomenclature used in old information with current information and ensures that critical information isn't overlooked due to a change in nomenclature.

To perform a quick search for an item:

  1. In the Search bar, type the word or phrase you want to find. The application automatically selects the scope buttons based on the level of the file plan hierarchy you are browsing in. For example, if you are currently browsing inside a matter, the Files button is automatically selected.

  2. To specify a different scope for your search, select another scope button.

    NOTE: When browsing elements that aren't a part of the file plan, the File Plan button is replaced with a button that is relevant to the context you're currently in. For example, when browsing events, the Events button is available and automatically selected.

  3. Select Search. The search results open in the List pane.

NOTE: The progress bar at the bottom of the pane indicates the status of the search. Select the Stop button to cancel a search in progress.

       4. In the Preview pane, select the Thesaurus Expansion tab to view terms that are related to the search terms.
       5. Continue with Customizing Search Results.

Adding criteria

The application also helps you perform a combination of a full-text and criteria-based search directly from the Search bar. The AND operator is used to combine the criteria of both types of searches.

To enter additional search criteria when performing a full-text search:

  1. Follow step 1 and 2 of Text searches.

  2. To add a property as a search criterion, select the Add icon. Alternatively, press Ctrl+Shift+Plus sign. Default properties that are exclusive to the item appear in the list below.

  3. Select a property (metadata) from the list, and specify a value.

  4. Perform the following actions on this criterion, or continue with step 5.

    • To lock this criteria as a global filter, select the Unlocked Criteria icon against it. It is now set as a global filter, and the icon against it changes to the Locked Criteria  icon.

    • To unlock this criteria as a global filter, select the Locked Criteria icon against it. It is now not a global filter, and the icon against it changes to the Unlocked Criteria  icon.

    • To remove this search criterion, select the Remove  icon against it. Alternatively, press Ctrl+Minus sign.

    • To continue adding more criteria, select the Add  icon against it. Alternatively, press Ctrl+Plus sign.

    • To unlock and remove all criteria, select the Remove  icon against the Search button. Alternatively, press Ctrl+Shift+Minus sign.

  5. Select Search. The search results appear in the List pane.

  6. Continue with Customizing Search Results.

NOTE: Properties that are locked as global filters are used each time a search is performed where the property is relevant as a criterion. For example, when performing a full-text search, if Office/Department is locked as a global filter, items matching both the specified search terms and the locked Office/Department are found. Similarly, when browsing the file plan, only items matching the locked Office/Department appear.

Clearing search items

To clear unlocked entries in the Search bar, select Clear.

NOTE: Using the Clear button clears unlocked entries in the Search bar and leaves the selection in the full text scope buttons unchanged.
