1. On the File menu, select New > File Part Using Template.

  2. In the New File Part from Template dialog, use the File Selection section to select where the new file part must be created:

    • Client: Enter, or select  and then select the client.

    • Matter: Enter, or select  and then select the matter.

    • File Part: Enter the name or scan the bar code of the parent file part. (Optional) To search for a file part, select Browse Files.

    Your selections are displayed in the Alternative Selections section. Use the links to browse the file plan and change the selections. In this way, after adding a series of inserts into a jacket, you can browse to a higher level, create a jacket, and add inserts into it.
    If there are templates which match the Practice Area of this matter, the matching templates are displayed in the table at the top of the dialog.
    If no valid templates exist for this matter, in the Select a template from standard field, select  and then select another standard. Select OK to return to the New File Part from Template dialog. 

  3. From the table, select the template to use. Complete the following fields:

    • Name: Enter a name for this file part. The template controls the naming of the file part. This field may be configured to allow you to change the name, append a name, or it may prevent you from changing the file part name.

    • Description: Enter any useful information about this file part. The description provided in the template appears in this field by default.

    • Office/Department: Select  and then select the location or group most responsible for this file part.

    • Responsible Attorney: Select  and then select the user that has control over this file part.

    • Home location: Select  and then select the location where this file part is stored when not in circulation.

    • ID (override): Enter a unique code to identify this file part, or accept the default ID created by the template.

  4. To create a batch of file parts simultaneously, enter the number of file parts in the Number of items to create field. This lets you ‌create any number of new file parts with the same properties (metadata).
    You can only create as many file parts as the file part ID format (in terms of number of characters) entered.

    For example, if you enter the ID for the first file part as IM_99, and specify two file parts to create, a message is displayed indicating that the number of records isn't within the range of the specified format. This is because the second file part gets an ID IM_100, which doesn't match the file part ID format (in terms of number of characters).

    Alternatively, to create the file parts without closing the New File Part from Template dialog, select Save and New. This lets you create additional file parts without opening the New File Part from Template dialog again.

NOTE: Based on the settings configured by your application administrator, the Office/Department, Responsible attorney, and Home location fields may display default values. You can manually override these default values. For more information, contact your application administrator. 

  1. Select OK.
