If you have been assigned an applicable role, you can add groups to asset teams (client, client group, matter and case) from the Users / Roles tab. You can add a group to the asset team only as a team member but not as a support staff or a responsible attorneyAny member of the group could already be part of the asset team of their own. In such a scenario, under the Staffing page of the asset, the user is also listed separately. Removing the group from the asset team will not remove such a user from the asset team. Likewise, removing the user from the asset team will still keep the user on the team, by virtue of their association with the group.
You can add or remove groups from teams, from the Teams tab.
Adding groups to teams
Click Users / Roles in the left navigation pane.
The Users page with the list of users / groups appears.Click on the row of the group who you want to add to the asset team.
The <Group name> - Members page appears.Click the Teams tab.
The Teams page appears. You can view the list of clients, matters, client groups and cases that the group is already a member of.
If the group is excluded from any assets, a banner is shown above the asset list, with an option to view only the excluding assets. Such assets are shown with a visual indicator, for example . Select this indicator to view the exclusion details for that asset.To add the group:
Select Add to Team. The Add to Teams dialog box appears. The list of all the clients, client groups, and cases is populated.
Select the check boxes next to the clients, client groups, and cases, or select the required rows to select the clients, client groups, and cases.
Select OK.
If the group or any of the users within it are conflicted on any of the listed assets, a warning message displays advising that, if added, the (group or) user will not have access to content for the given conflicted asset. You can nonetheless proceed to add such users to the asset team.
The group is added as a team member to these clients, client groups, and cases.
To add a group as a team member of specific matters under a client, client group, and case, do the following:
In the Teams page, click Add to Team. The Add to Teams dialog box appears. A list of all the clients, client groups, cases and matters is displayed.
Select View Matters next to a client, client group or case to view the list of all matters under the selected option that are not inherited (in case of cases) or secured (in case of clients and client groups).
Select the check boxes next to the matters, or select the required rows to select the matters.
If you select the Select All check box at the top of the list, then only the 10 matters that are displayed on the page are selected.
You can view count of unselected matters under the parent asset in the Select 'x' remaining items link, where 'x' is the count of unselected matters. As you select matters, the count keeps reducing to reflect the updated unselected matter count.
Select the Select 'x' remaining items link to select all the matters under the parent asset.
You can optionally add a comment in the Reason field about why the group was added. This reason is subsequently visible in the Timeline tab of the relevant assets.
Select OK. The group is added as a team member to the selected assets.
To view the other staffing information of an asset, click on the row of the client, client group, case or matter. Then, click View Staffing Details.
Alternatively,
Select the check box next to the client, client group, case or matter or click on the rows of the client, client group, case or matter. Then, click View Staffing Details. The Staffing page of the selected asset appears.
NOTE:
You have the option to filter the displayed asset list as required.
Removing groups from teams
Select Users / Roles in the left navigation pane.
The Users page with the list of users / groups appears.Select the row of the group that you want to remove from the asset team.
The <Group name> - Details page appears.Select the Teams tab. The Teams page appears.
You can view the list of assets (clients, matters, client groups, and cases) that the group is already a member of.To remove a group from the staffing team of a client, client group, case, or matter:
Select in the row of the client, client group, case, or matter. Then, select Remove.
Alternatively,
Use filters and multiselect tools—selecting any check box to access these—to select groups, then select Remove.
The Remove from teams dialog is displayed.You can select whether to add the removed group’s members as historical users on the asset, and optionally add a Comment to explain the reason for the removal.
Select Yes to confirm.
A success message is displayed and the groups are removed from the selected teams.
