If you are assigned to one of the following roles, you can manage matter-level locations.
Client and Matter Administrator
Client and Matter Manager
Conflicts Officer
(Matter) Administrator
(Matter) Conflicts Administrator
Matter level locations are specific to matter and cannot be used by other matters. All global location templates are listed on the matter locations page.
You cannot edit or delete global location templates from this page, but you can edit and delete matter-level locations.
Adding a Location
On the Matter Details page, select Locations tab.
The Locations page appears. The list of all the locations added in SPM are displayed. To add a new location, select + New Location. The Create New Location dialog box appears.
Select the required system from the System Type drop-down menu. You can select:
Filesystem
Sharepoint or
Teams
NOTE:
The availability of system types here is dependent on corresponding root paths having been configured for those system types.
You have different options depending on the system type you have selected:
For Sharepoint:
Select the required root path from the Location Path drop-down menu.
You can extend the Path to Location to the exact directory where the matters will be located.
For Filesystem:
Select the required root path from the Location Path drop-down menu.
You can extend the Path to Location to the exact directory in which the matters will be located.
The following separator characters can be used:
/
\
“ ” (space)
-
For the iManage SPM Generic File System Agent, you can also include the wildcard character “*” (asterisk), directly before or after any of the path variables, or as an entire path segment. This gives you the flexibility of a fuzzy—rather than an exact—match.
For example:
\*abc\\abc*\
\*\
Matching is only within the path segment in which the asterisk appears, that is \\root\001*\A will match \\root\001 x\A and \\root\001 y\A, but not \\root\001 z\B\A.
Further examples of how you may use this include:
/ClientID*/MatterID*/
/{clientId}-{matterId}/
/ClientID.MatterID/
For example, if the Client ID in SPM is 001 and the Client Name in SPM is Acme Limited, a Path to location client portion of “{ClientID} {ClientName}” would only cover folders with “001 Acme Limited” and not those with “001 Acme Ltd”. To cover the latter folder name and other possible variants, you can add a Path to location client portion of “{ClientID}*”, which would cover any folder with “001…..”. Likewise for the matter portion of the Path to location—for example “{Matter ID}*”.The Preview of Location field displays the complete location path selected.
NOTE: Locations with wildcards aren’t supported by the iManage SPM Windows File System Agent. If such a location is sent to that agent, it’ll log an error.
For Teams, you have several options to assign a specific teams location to a matter.
NOTE:
If the matter is aligned with the global location naming policy for Teams, you may not need to assign a specific Teams location to the matter per the steps below, as the matter team will already be secured by SPM. Contact your system administrator if you require advice in this regard.
To add the location link for an individual matter:
Select Teams Location path (tenant ID).
in Paste Teams URL, paste the link for the relevant Team (e.g. from Teams "Copy link").
TIP:
You can directly access the corresponding Teams location, from locations added this way.
From the locations list, on the line of the relevant location, select > Open in Teams.
You can also add using full or partial team name:
NOTE:
Team Name is the default attribute in Teams that SPM matches to, however it is possible that your organization has configured the iManage Teams agent to match alternative attributes. For more information, see Installation section of iManage Teams Agent Installation Guide.
Select Teams Location path (tenant ID).
To add a team name of an individual matter:
In Team Name pattern, enter the team name of the relevant team, exactly as it appears in Teams. You can optionally use the global Client ID and Matter ID options, by selecting
.
Select the Exact match checkbox.
If you want to use a partial team name, for example a prefix shared among several teams pertaining to the matter:
Enter text (for example, partial team name), in Team Name Pattern.
Ensure the Exact Match checkbox is not selected. Matter security will be applied to any teams with names that start with the team name pattern.
Example: Matter "Ajuba_1" has a number of teams in Teams relating to it, such as "Ajuba_1-para", ""Ajuba_1-budget" and so on. By entering text "Ajuba_1" in Team Name, matter security will be applied to all of these teams.
You can allow users from specified external domains on this location. To do so, select the Allow External Team Members checkbox.
NOTE:
For matters that are open and have no excluded or conflicted users, this matter-level setting will not apply, as such matter does not require policy processing by the iManage Security Policy Manager Agent for Microsoft Teams, and so is not ‘visible’ to the agent, for application of a specific configuration. In this scenario, the global setting for that location will be applied to that matter in Microsoft Teams
For more information about this option, see Locations.
Enter any relevant description of the location in the Notes field.
Select OK. The location is added and listed in the Locations page.
