1. Select the email in your Microsoft Outlook inbox, then in the iManage ribbon group, select File > Browse and File. Alternatively, right-click the email and then select File > Browse and File, or select the Browse and File button on the Email Management task pane.
    The Browse and File dialog box appears.

    NOTE:

    You can also file the new email you are composing to multiple locations using the Select Location(s) option in the search list available in the iManage task pane. For more information, see Sending and filing emails.

  2. Select filing locations using any of the following methods, and select Add to Filing Location to add the locations to the filing locations list:
    • Type the name of a workspace in the search bar to search for a destination workspace, press Enter, select a workspace in the search results, expand the node, and select a folder in the workspace.

      NOTE:

      The search field remains enabled and active when you search for filing locations in the Select Filing Location (when you file and send emails), or the Select Location(s) (when you browse for the filing location) dialog boxes.

      The default value for the SearchInterval option, which is used to set the interval (in milliseconds) for automatically searching the workspaces is now set to 1000 milliseconds. This means that a search is performed as soon as one second elapses after you stop typing. For more information, refer to the SearchInterval option in the Options for the Select Filing Location dialog box table in the imEmm.config section in the iManage Work Desktop for Windows Customization Guide.

      To increase accuracy of email suggestions, from version 10.6.0 a suggestion icon and tooltip is now displayed to indicate that alternate filing suggestions are available when you select a filing location for filing emails.

      Alternatively, select Search for Workspaces  and select Search for Folders. Type the name of a folder in the search bar, and select the desired folder. 
      To search for workspaces and folders in a particular database or all databases available in your organization, select Search for Folders or Search for Workspaces , point to the Databases option, and select the required database.

    • Select an iManage Work container in the Suggest Locations or Recent Locations list. These lists display recent locations from the server that you are currently connected to, and other iManage Work servers that you connected to recently.

      NOTE:

      The ShowClientMatter and ShowClientMatterDescription options are deprecated from 10.2.6 and WorkspaceView option is introduced instead.

      Using the WorkspaceView option, administrators can define which of the following column headings should appear in the Send and File dialog box, Browse and File dialog box, and the filing dialog box in the iManage Work toolbar by default:

      • Custom 1-12 Alias
      • Custom 1-12 description
      • Custom 29/30 Alias & description
      • Custom String fields: 13-16
      • Custom Long fields: 17-20
      • Custom date fields: 21-24
      • Custom Boolean fields: 25-29
      • Subclass - description and value
      • Default Security

      NOTE:

      From 10.2.6 onwards, you can perform the following actions on the Send and File dialog box, Browse and File dialog box, and the filing dialog box in the iManage Work toolbar:

      • Add or remove columns headings using the cog icon().
      • Right-click any existing column to add or remove the default column headings configured by your administrator.

      • Rearrange columns using drag and drop.
      • Sort search results in ascending or descending order by selecting the column headers.

      By default, you will see the following fields on your workspace suggestion:

      • Custom 1 Alias
      • Custom 2 Alias

      In addition, you can add the following fields to your workspace suggestion:

      • Custom 1 Description
      • Custom 2 Description

      Changes made will be saved on your machine and will appear in all the three filing dialog boxes and also when filing emails offline.
    • Select Show the Client and Matter fields  to search for a destination using Custom1 or Custom2 properties. Select Find to perform the search.
    • Select Browse to manually select an iManage Work destination container. Only the locations on the iManage Work Server that you are currently connected to are displayed.
    • Select Recent searches  and select an option. Select a location in the search results list.
    • Select Set language to select any of the six languages (English, German, French, Spanish, Chinese, Japanese) supported by iManage Work for the search text. In the Work Panel in Outlook, select inside the search box for the MattersDocuments, or Emails tab, select  and then select a language from the list.

      Your language selection will persist across subsequent searches until you change the selection.

      NOTE:

      The enhanced search tool (available in the Select Filing Location and Browse and File dialog boxes, and the iManage Work panel) takes full advantage of iManage Work's multiple language capabilities, and you can search content in any of the six supported languages, independent of the UI language setting. The tool looks for foreign root words, or stems, when searching for content. For example, if you select French, and search for "Contract", you would also hit on such terms as Contracté, Contractée, Contracter, Contractes, and so on. 

    Alternatively, select the File to multiple locations check box, and then select Browse in the pane that appears. Select a location in the Select dialog box, and then choose Select. The location is added to the Filing Location(s) list. For more information about using the Select dialog box, see  Filing an email.

    NOTE:

    From 10.2.5 onwards:

    Instead of drilling down to the folder level within a workspace, you can now quickly file emails by selecting a workspace directly when trying to file emails using the Select dialog box that appears when you select Browse and File > Browse. The emails are filed to the default email filing folder in the workspace. Ensure that the workspace contains the default filing folder specified using the Default Email Folder option in iManage Control Center. If no such folder is available, you are prompted to select another folder in the workspace. For more information about setting the default filing folder, refer to the Global section in iManage Control Center Help.

  4. Select File. The email is filed to the specified locations on the server you are currently connected to and other iManage Work Servers.
