When does iManage AI Enrichment start running?

After you’ve added and enabled the iManage AI Enrichment app in iManage Control Center, and imported the required CSV files, the service begins enriching documents going forward; it doesn’t retroactively enrich all your existing documents. For the specific actions that trigger enrichment, refer to What actions cause a document to be enriched and classified? below.

Even if the properties haven’t yet been configured to display in iManage Work Web, the service starts populating the properties with data extracted from the documents.

What actions cause a document to be enriched and classified?

The following actions cause a document version to be classified and enriched:

  • Creating, uploading, or saving a document to iManage Work.

  • Modifying the contents of a document in iManage Work and saving the changes to iManage Work. When checked back in, the service processes the relevant version.

  • Creating a new version of a document and changing the contents of the new version. This also includes Journal Promotion.

  • Restoring a document from the Trash.

What actions don’t trigger a document to be enriched and classified?

The following actions don’t cause a document version to be classified and enriched:

  • Changing the document’s security, such as the default security, or adding or removing users who have access to the document.

  • Changing the document profile, such as modifying any of the other properties stored for this document in iManage Work.

NOTE: Adding or modifying a comment triggers enrichment only for a document that hasn’t yet been enriched. It doesn’t trigger re-enrichment for a document that has already been enriched.

Can iManage AI Enrichment be enabled on only one iManage Work library?

iManage AI Enrichment can be enabled only globally. If you have multiple iManage Work libraries, the service automatically enriches content in all libraries.

However, the ability to expose the enriched metadata fields to users can be managed per library:

  • This can be done by choosing to add the enriched metadata fields only to the iManage Work Web UI (Properties panel, Advanced Search form, and so on) on a per library basis.

  • Doing this allows the enrichment service to run for all content in your tenant and update the fields in the system, but either hides the field from users on all libraries until it's complete, or gradually introduces this functionality to users on a per library basis.

Can iManage AI Enrichment be enabled for a subset of users?

When iManage AI Enrichment is enabled, access is controlled globally through the Access setting in iManage Control Center. If Custom is selected, the enrichment fields are displayed only to the specified users in the web interface; users not on that list won’t see these fields in any library. iManage Control Center itself is unaffected and displays enriched fields to all users.

Can iManage AI Enrichment service be disabled on my tenant?

Yes, admins can disable this feature at any time by disabling the app in iManage Control Center.

  • Doing this stops new content from being enriched, and hides the fields in iManage Work Web within a maximum of eight hours of the app being disabled.

  • However, any documents enriched to date still retain any field values allocated to them in the database. Should the service be re-enabled, these values are again shown in these fields.

Does iManage AI Enrichment send data to a third party model?

iManage AI Enrichment is built using open-weight AI models that are operated entirely within the iManage cloud platform, so your data never leaves iManage.

What should I consider when using Insight+ with iManage AI Enrichment?

Ensure that AI Enrichment is fully enabled and propagated before configuring Insight+. Don't disable Extended Metadata until enrichment fields are verified. Improper sequencing may cause Insight+ dashboards and filters to fail.
