You also have the possibility of running a question list through multiple documents in one go. You can choose many documents of the same type, like commercial lease agreements in a specific jurisdiction. Then, Ask iManage will read all those documents and get you answers from them.

NOTE: We strongly recommend that you validate Ask iManage responses with the evidences provided. AI can make mistakes.

Reviewing multiple documents at once

  1. In cloudimanage.com, select the documents of your interest. You can also organize documents of a similar nature into folders for ease of selection.

  3. In the Ask iManage page that opens, select all the listed documents and apply a question list to them for Ask iManage to read through them and fetch the answers. The system can run the question list for a maximum of 50 documents at a time. After you select a question list, you can view the list of labels for which you'll get answers.

  4. Select Ask to start document processing.
    Ask iManage will read through all the unprocessed documents in the list. It may take a while for Ask iManage to fetch the answers based on the size and number of documents it has to read through.

    After the document processing is complete, the answers are populated in a tabulated format. You may notice that some of the labels have the “Answer not found” response. This indicates that Ask iManage didn't find related information in the document.

  5. When documents aren’t fully processed, that is, some responses haven’t been fetched, the “Some documents have not been processed” status is displayed on top of the page. You can reprocess the documents by selecting Process <n> documents, where n is the count of documents selected.

NOTE: If Ask iManage fails to find the relevant information in the document or relevant information doesn't exist for the question being asked, a “Answer not found” response is displayed.

The question list and questions are visible to every user in your cloudimanage.com environment.

The system saves the responses and they'll be displayed for you when you sign in again and apply the same combination of documents and question list. Further, the responses are visible to every user in your environment, provided they apply the same combination of documents and question list.

However, the system saves only the responses from the last run question list. If you or any other user re-runs the question list or runs a different question list for the same set of documents, the current set of responses are deleted and the system saves the latest responses.

After your documents are reviewed and you get the responses, you can additionally do the following:

Viewing the evidence of the response

  1. The number icons below the answer indicate the count of evidence found in the document related to the question.

    1. To view the section in the document that was used to generate the answer, hover over a number icon.

    2. To view the location in the document where the evidence was found, select a number icon.

NOTE: You can use either of these options to validate the generated answer. To return to the Ask iManage page, select the back 29 back icon.png icon.

Copying the question and the responses to your local device

  1. To copy the answer for your intended use, select the Copy to clipboard 09 copy to clipbard icon.png icon.

Providing feedback on the quality and accuracy of the response

  1. After you've validated the answer, select the Good answer or Bad answer 10 Thumbs up and down icons.png icon to give us feedback about how Ask iManage did.

    If you select Bad answer icon, you're presented with a set of preset answers that give us more information about why the answer wasn't acceptable. These options are:

    • Answer is incorrect

    • Answer is incomplete

    • Answer is too short

    • Answer is too long

    • Style is bad or offensive, and

    • Other

NOTE: Selecting either of these feedback options doesn’t send us the document, question, or the answer.

Exporting the tabulated responses

  1. On the Ask iManage page, select the documents for which you want to export the answers, and then select Export. The answers are exported to your local device in the .csv format.

Deleting the documents from the review list

  1. Select the documents that you want to be removed from your list of documents, and then select Delete. The documents, along with the answers are removed for processing. The documents don’t get deleted from the database.

Searching the tabulated results

  1. If the list of documents and the questions in the questionnaire are numerous, you can use the search field to enter the information you quickly want to locate. The information gets highlighted and is easy to view.

Closing Ask iManage page

  1. To close the Ask iManage page and return to the cloudimanage.com interface, select the X icon in the upper-right corner of the page.
