Best Practices
When setting up templates for iManage Work Workspace Generator, always use variables with delimiter "%".
DO NOT edit iCC templates using classic iManage Work Web because the templates does not function as expected with Flexible Folders, Workspace, and iManage Work Workspace Generator.
If you have existing templates with variables with delimiter "#", you can continue to use them with Workspace and Flexible Folders. If you want to use them with iManage Work Workspace Generator, you must change the variable to use the "%" delimiter.
A folder marked as Required at the workspace level has no significant meaning, and instead should be marked as Workspace creation.
A Required folder has significance only when used in conjunction with Optional folder. An Optional folder can have subfolders that are Required. If the user wants to create an optional folder, the firm wants that the required subfolders must be created automatically to complete the folder structure to support the business rules.
For example, a template has the following:Optional folder "Court Filings"
Required subfolders - "From Court" and "To Court".
When the user decides to create Court Filings, the folders From Court and To Court will also be created automatically, as it is an entire entity.
While creating workspaces using templates, all the folders marked for workspace creation will be created at once.
In iManage Work or with iManage Work add-ons installed on a client application, users will be able to change the name of the folders only if Allow user to rename this folder option is selected while creating the associated template .
Do not define Folder Prefix/Suffix template property along with the prefix/suffix in the folder Name property. If both are set on a template, and iManage Work uses it to create the folder during workspace creation then:
It adds prefix/suffix twice to the folder name. For example, if C1ALIAS = 1000 and C2ALIAS=001, Folder suffix in template = (%C1ALIAS%-%C2ALIAS%) and folder Name property = Correspondence (%C1ALIAS%-%C2ALIAS%), then the resultant folder is created with the name Correspondence (1000-001) (1000-001).
Flexible Folders does not recognize the folders created by iManage Work Workspace Generator as a standard part of the template, and allows recreation of them.
Therefore, the best practice when using templates with the following is:
iManage Work Workspace Generator - Define prefix/suffix in the folder Name property.
Workspace creation - Define the Folder Prefix/Suffix template property. By doing this, you will not have duplicate values in the folder names.
Flexible Folders - Either define prefix/suffix in folder Name property or Folder Prefix/Suffix template property, as both support the workspace generation methods described above.
Currently, the folders that are created along with workspaces (folders marked as Workspace creation during template creation), cannot be restored if deleted. These deleted folders appear in the flexible folders list while adding other optional folders. Users can then recreate the folders using this template.
