To review and process upcoming tasks, do the following:

  1. In the list pane, select Tasks and then select Upcoming. All upcoming tasks are displayed.

  2. Select Recalculate Upcoming if you want the tasks to be triggered earlier. Tasks are triggered for recalculation.

  3. After the recalculation is complete, do one of the following:

    • If the setting it set to Items are not destroyed until approval is received by an authorized reviewer in Disposition Review Settings, then the status of the upcoming tasks are as follows:

      • Approved

      • Denied

      • Processed

      • Pending Approval

      • Pending Processing

        To change the status of the upcoming task, select the idm_new_30.png kebab menu next to the upcoming task and change the status from:

        • Pending Approval to Approve or Deny. The status changes to Approved or Denied based on your selection.

        • Pending Processing to Process. The status changes to Processed.

    • If the setting is set to Item destruction is pre-approved unless denied by an authorized reviewer in Disposition Review Settings page, the status of the upcoming tasks are as follows:

      • Pre-Approved

      • Denied

      • Processed

      • Pending Processing

        To change the status of the upcoming task, select the idm_new_30.png kebab menu next to the upcoming task and change the status from:

        • Pre-approved to Deny. The status changes to Denied.

        • Pending Processing to Process. The status changes to Processed.

IMPORTANT: When creating events, if you haven't selected, then you have to process the pending tasks and the Pending Processing and Processed statuses are displayed. The approval process is as follows:

  • Pending approval

  • Approval

  • Pending processing

  • Processed

If you deny any task, no further changes can be done to the task.

  1. (Optional) Select settings.png to display the Table Columns list. You can select or deselect the columns you want to display on the Upcoming Tasks page. The selected columns are displayed on the Upcoming Tasks page.

NOTES:

  • If you have selected the Automated check box when creating or editing events, then you don’t have to process the task. Automated events are run when you run upcoming tasks.

  • All eligible tasks are automatically run once a day.

Additionally, select Filters to view or hide the filter panel. In the filter panel:

  • In the Start Time section, select the time range. This displays all upcoming tasks for the selected time range.

  • In the Status section, select the status. You can select multiple status. This displays all the upcoming tasks for the selected status.

  • In Items on hold section, select the items that are on hold. This displays all the upcoming tasks for the selected items on hold.

  • In the Libraries section, select the library. This displays all upcoming tasks applicable to the selected library.

  • In the Client section, select the client. This displays all upcoming tasks for the selected client.

  • In the Matter section, select workspaces. You can select more than one workspace at a given time. This displays all upcoming tasks for the selected workspace or workspaces.

  • In the Event Types section, select an event type. This displays all upcoming tasks for the selected event type.

  • In the Event Name section, select an event name. This displays all upcoming tasks for the selected event name.

  • In the Schedule section, select a schedule. This displays all upcoming tasks for the selected schedule.

All the filters selected idm_new_28.png is displayed next to the Filters button as shown in the following figure. You can either select to clear the particular filter or select Clear All to clear all filters selected.
