Closing a file part prevents you from filing items into it. Typically, the Close action is associated with the Cutoff action, because you may want to close a file part that is eligible to be cut off. For example, if a jacket containing quarterly reports is cut off at the end of each quarter, you may also close the jacket, so that items aren't accidentally added into it.
In the Navigation pane, select the Records tab.
Search or browse for the file part, and select it.
From the Action menu, choose Close. The Close File Parts dialog opens.
In the Effective close date field, select the date to perform the action.
Select Process. The results of the action appear in the Results pane of the dialog box.
Select Close.
NOTE: You must have the Close privilege to perform this action.
Reopening File Parts
After a file part is closed, you can reopen it and add items into it. Reopening a file part updates the Close Date to a null value.
In the Navigation pane, select the Records tab.
Search or browse for the file part, and select it.
From the Action menu, choose Open.
