1. From the New menu in the toolbar, select  File Part Using Template  . 
    Alternatively, in the Navigation pane, select the Circulation tab and then in the File Creation pane, select New File Part (From template).

    The New File Part from Template dialog opens.

  2. The File Selection section enables you to select where to create the new file part. 

    • Client: Enter the client name or select the  icon and then select the client.

    • Matter: Enter the matter name or select the  icon and then select the matter.

    • File Part: Enter the name or scan the barcode of the parent file part. You can also select Browse Files to search for the file part.

      The green arrow indicates the target location under which your file parts will be created. Your selections appear hierarchically in the Alternative Selections section. Use the links to browse the file plan and change your selections. In this way, after adding a series of inserts into a jacket, you can browse to a higher level and create a jacket, and add inserts into it.

      If there are templates which match the Practice Area of this matter, the matching templates are displayed in the table at the top of the dialog box.

      If no valid templates exist for this matter, in the Select a template from standard field, select the  icon, and select another standard. Select OK to return to the New File Part from Template dialog box.

  3. From the table, select the template to use.

NOTE: To simplify data entry, individual fields can be locked. Press Ctrl+L to save the information that you entered in the field, so that you don't have to re-enter the information. Locked fields are filled in yellow. To unlock a locked field, press Ctrl+U.

  1. Update the following fields:

    • Name: Enter a name for this file part. The template controls the naming of the file part. This field may be configured to allow you to change the name, append a name, or it may prevent you from changing the file part name.

    • Description: Enter any useful information about this file part. The description provided in the template appears in this field by default.

    • Office/Department: Select the  icon and select the location or group most responsible for this file part.

    • Responsible attorney: Select the  icon and select the user that has control over this file part.

    • Home location: Select the  icon and select the location where this file part is stored when not in circulation.
      NOTE: Based on the settings configured by your application administrator, the default values for the Office/Department, Responsible attorney and Home location fields may be filled with default values. You can manually override these default values. For more information, contact your application administrator. 

    • ID (override): Enter a unique code to identify this file part, or accept the default ID created by the template.

    • The File Part ID isn't the same as the File Part Barcode. The File Part Barcode will be autogenerated.

      NOTE:

      • You can only create as many file parts as the file part ID format (in terms of number of characters) entered.

      • For example, if you enter the ID for the first file part as IM_99, and specify two file parts to create, a message appears indicating that the number of records is not within the range of the specified format. This is because the second file part gets an ID IM_100, which doesn't match the file part ID format (in terms of number of characters).

        To create a batch of file parts simultaneously, enter the number of file parts in the Number of items to create field. This enables you to create any number of new file parts with the same properties (metadata).

             Alternatively, to create the file parts without closing the New File Part from Template dialog box, select Save and New. This enables you to create additional file parts without opening the New File Part from Template dialog box again.

       5. Select OK.
