1. In the Navigation pane, select the Administration tab.

  2. From the New menu in the toolbar, select Retention Schedule.
    The New Schedule dialog opens.

  3. Complete the following fields:

    • Retention ID: Enter a unique code to identify this schedule.

    • Name: Enter a short descriptive name for the schedule. For example: California Litigation.

    • Jurisdiction: Enter the jurisdiction to which this schedule belongs. An example might be a state, province, or municipality.

    • Description: Enter a short description of this schedule.

    • Research date: Select the date this schedule was last reviewed and authorized.

    • Department: Enter the department associated with this retention schedule. No business rules refer to this capability.

    • Event: To select the retention events that are a part of this retention schedule, select Add. You must create retention events before you can add them to a retention schedule. To remove the added retention events from the retention schedule, select Remove.

      NOTE: Retention events of the same event type and having the same prerequisite record status can't be a part of a common schedule.  The order in which retention events appear in this list doesn't affect the sequence or behavior of events within the schedule.

    • Retention purpose: Enter a statement of purpose for this schedule.

    • Cutoff cycle: Select the  icon and then select a cutoff cycle for this schedule. For an item to be eligible for a cutoff, it must have a retention schedule that is assigned a cutoff cycle.
      NOTE:

      • The fiscal year is defined by a system setting that shows the first day of the fiscal year for your organization.

      • Annually on Event (Fiscal) is a special cutoff cycle. It stipulates that an item is cutoff not on the File Open Date (as usual), but on the Retention Start Date instead.

  4. Select OK.
