In Configuration > Roles, selecting a role from the Roles tab opens its Roles Details page. This page shows the role’s description, lists the users and groups assigned to it, and provides a change history of when the role was added to or removed from members. Use it to review who currently has the role, update its membership, or check when access last changed.

Page layout

At the top of the Roles Details page, you can return to the main Roles dashboard:

  • Select the back arrow beside the role icon, or

  • Select the Roles button at the top of the page

Members tab

The Members tab displays all users and groups assigned to the role.

Page layout and features

The Members tab contains a table that displays:

  • For users: user name, user ID, email address, and account status

  • For groups: group name, group ID, and account status

  • Account status icons: blue = active; gray = disabled

Sorting

  • The list is sorted by Name in ascending order by default

  • To sort by a different field, select the column header

  • Select the same column header again to toggle between ascending and descending order

  • An arrow next to the column header indicates the sort direction: up arrow = ascending; down arrow = descending

Filtering

  • Use the search bar to filter by user name, user ID, group name, or group ID

  • Select Filter to open the filter menu:

    • Filter by Type (All, Users, Groups)

    • Filter by Account Status (All, Enabled, Disabled)

  • To pin the filter menu to the left side of the screen, select the pin icon

Column visibility

  • To hide columns, select the column settings icon at the top right of the table

  • The Name column cannot be hidden

  • Columns currently being used to sort cannot be hidden

Task: Filter role members by name, type, or account status

Follow this procedure to narrow the members list to find specific users or groups assigned to the role:

  1. Go to Configuration > Roles, select the Roles tab, and select a role to open the Roles Details page.

  2. The Members tab displays by default.

  3. To filter by name or ID:

    • Use the search bar to enter the user or group name or ID

  4. To filter by other attributes:

    • Select Filter

    • Select the attribute you want to filter by (Type, Account Status)

    • Select the value (All, users, groups, enabled, disabled, etc.)

    • To pin the filter menu to the left side of the screen, select the pin icon

The table updates to show only members matching your filter criteria.

Task: View a member's details

To access a user's or group's information and assigned roles:

  1. Go to Configuration > Roles, select the Roles tab, and select a role to open the Roles Details page.

  2. The Members tab displays by default.

  3. Select the user or group name. The User Details page or Group Details page opens and displays the selected user’s or group’s information.

To view members of a group listed here:

  • Select View Members beside the group ID. A scrollable tooltip displays all members of the group.

  • To view details for a specific group member, select the member's name in the tooltip. The User Details page opens for that user.

Task: Add users or groups to a role

Assign a role to multiple users or groups at one time. Once assigned, they immediately have access to the features associated with that role. For group members, the role is inherited and is displayed on their Roles tabs as "Inherited role from group."

To add users or groups to a role:

  1. Go to Configuration > Roles and select the Roles tab.

  2. Select the role to which you want to add members. The Roles Details page opens.

  3. Select Add Members. The Add Members screen displays, showing all available users and groups.

  4. Select the users or groups to assign:

    • The list is ordered by Name in ascending order by default

    • To change the sort order, select the Name column header

    • To filter the list by name or ID, use the search bar

    • To filter by type (Users, Groups, All) or other criteria, select Filter

    • Select a row to select or deselect it

    • Select the check box at the top of the table to select all items on the current page

    • Select Deselect (is displayed after at least one selection is made) to clear all selections

  5. (Optional) To confirm your selections before assigning:

    • Select View selected items. The list filters to show only the users and groups you have selected

  6. Select OK to assign the selected users and groups to the role, or Cancel to discard changes.

The selected users and groups are assigned to the role and now appear on the Members tab. The role is also displayed on each user's and group's details pages (User Details or Group Details).

IMPORTANT:

  • Users or groups already assigned to the role do not appear in the list of available users and groups

  • After users or groups are added to a role, their User Details or Group Details pages are automatically updated with the new role assignment

  • Tip: If you have a large list of users or groups to choose from and want to confirm your selections before assigning, use View selected items to filter the list to only your selections

Description tab

The Description tab provides a read-only description of the role. This explains what the role is for and what users with this role can do.

History tab

The History tab provides an audit trail of all changes made to this role. This shows who assigned or removed the role, which users or groups were affected, and when the change occurred.

Information displayed for each change:

  • Action performed (user added, user removed, group added, group removed)

  • User who performed the action

  • Affected user or group

  • Date and time of the change

Filtering

  • Use the search bar to filter by user (either the user who performed the action or the user/group that was affected)

  • Select Filter to filter by date range:

    • Last Week

    • Last Month

    • Last 3 Months

    • Last 6 Months

    • Last Year

    • Custom date range

The default date range can be configured on the Settings > General page.
