Unlike the document and workspace triggers, a form based trigger isn't tied to a document, workspace, or any other Work object.
It is used to start a flow whenever someone fills out and submits a form that was distributed through a form link. This trigger is most commonly paired with the Create form link action: one flow creates a form link and sends it to a recipient—for example, by email—and a second flow—using this trigger—runs when that recipient submits the form.

Activation

Because this is a form-based trigger, activating it isn't about enabling a menu option—it's about making sure a working form link exists and that a flow using this trigger is live to receive it.

  1. Building a form in iManage Workflow Manager using Form Builder.

  2. Generate a form link using one of the following methods:

    • From within a workflow, using the Create form link action. This supports three security modes for the link:

      • Public: No authentication is required. nyone with the link can open, fill-out and submit the form.

      • Any iManage user: Anyone who authenticates with. valid iManage user account can access and submit the form.

      • Specific iManage user: Only the iManage user ID you specify can access and submit the form.

    • Directly from the Form Builder UI, using the Create Public Link option. Links created this way are always public, with the maximum number of submissions defaulting to 1.

  3. Publish a flow using this trigger, configured with the same Form ID (and Library ID) as the form link. The form link doesn't become functional until a flow using the When a form response is submitted trigger, matching that Form ID, is live — if that flow isn't published yet, the form itself returns an error and doesn't load at all.

NOTE: The Form Builder UI's Create Public Link option always creates a Public link with a default maximum of 1 submission. To select a different security mode, or to set your own maximum submissions or an expiration date/time, generate the link using the Create form link action instead.

Build your flow

To create a workflow that uses the When a form response is submitted trigger:

  1. Go to http://make.powerautomate.com and select +Create.

  2. Create an Automated cloud flow.

  3. To view all the available iManage Work triggers, search for iManage Work.

  4. Select the When a form response is submitted trigger.

  5. Specify the following:

    1. Workflow name: Provide the name that users will select when they want to trigger the workflow.

    2. Description: Provide a detailed description of the workflow for users.

    3. Library ID: Select what library the workflow will apply to.

    4. Form ID: Select the same form used when the form link was created — either through the Create form link action or the Form Builder UI's Create Public Link option.

TIP: Publish this flow before you distribute the form link (or before the flow that creates the link runs). If a flow using this trigger with a matching Form ID and Library ID isn't live yet, the form won't load—it returns an error instead.
