Open a document filed in iManage Work directly into its native Microsoft Office client using any of the following methods:


NOTE:

  1. You can connect to the different iManage Work Servers that you have access to, open documents saved on each of these servers, and simultaneously work on multiple documents. For more information, see Switching iManage Work Servers.
  2. You can use Open while working offline, too. In this case, the Open [Offline] dialog box displays only those documents that are backed up to your local drive. For more information about saving documents to your local drive, see Saving a document. All documents that were backed up from different iManage Work Servers are listed together.
  3. With iManage Work release 10.2.4 and later, when you open or save a document, any special characters other than ']' and '[' in the file name will be replaced with an underscore when the document is saved to your computer. This does not change the file’s name or description stored in the iManage database.

Using the iManage tab

On the iManage tab, select Open. The iManage Open dialog box appears. It enables you to perform the following tasks:

Searching for documents

The Open dialog box displays a list of Recent Documents by default. Documents that you have recently accessed from the iManage Work Server, to which you are currently connected, are all listed here. Select the Checked Out Documents tab to view the list of documents that you have checked out from the iManage Work Server. 

If a document is checked out,  appears next to the name of the person using the document.

You can change this to a list of Recent FoldersRecent MattersClients, or My Favorites by selecting in the left pane. Select the My Matters tab (adjacent to the Recent Matters tab) to view the matters that you are associated with. This folder contains Workspaces you have created, as well as the My Matters folders of other users to which you have subscribed.

Use the navigation buttons to go back , forward , or up one container level

If a document was changed since you viewed the list the last time, a blue dot appears next to the document name.

Use the search box to locate specific documents within the container you have selected. For more information, see  Using the search box.

NOTE:

You can use keyboard shortcuts to navigate through the Open dialog box. For a list of applicable keyboard shortcuts, see Appendix A: Navigation shortcuts.

Filtering your content

The Filters function enables you to sort the content list. The filters vary depending on the search criteria. 

To apply filters to the search results: 

  1. Select Filters .
  2. Select the category of filter that you would like to apply to expand the list of options. For example, Activities for your Recent Documents.
  3. Select one or more filter criteria from the options provided.
  4. Select Done.

NOTE:

Certain filter categories, such as Date allow only one criterion to be selected at a time.

Displaying document details 

Select Show Details  to display the Properties, Versions, and Preview panel of any selected document. Use this option to modify the properties, including security, open a different version, or preview the selected document.

Opening a document

After you have located the desired document, you can double-click it or select the document from the list and select Open to open it directly for editing. You can also select the document and use the Open drop-down arrow to select the other supported methods for opening the document:

  • Open as Read-Only

    NOTE:

    A document that is declared as a record opens in Read-Only mode unless you have administrator rights. For more information, see Declaring/undeclaring a document as record.

  • Open as Copy
  • Open in Protected View

Using the Backstage view

The iManage tab in the Microsoft Office Backstage view enables you to view, open, and manage your iManage documents, and to save new documents to the desired iManage location. The iManage containers are sorted per different groups based on your recent activity, and any item in the lists can be selected for quick access to the desired document. For example, the Offline option under Documents and Matters enables you to:

  • View and open the documents and matters that you recently accessed in offline mode.
  • Access documents saved to your local system using the Take Offline option in the iManage Work panel and the iManage Work Web Server.
  1. Select the File tab to access the Microsoft Office Backstage view.
  2. Select Open, then select iManage. By default, the Documents tab is selected and displays the All Recent Documents list. Alternatively, select Checked out by me or Offline to view the other document lists.
    The lists display document names and other details. The name of the matter in which the document resides is also displayed. Select the document name to open it in the native application.
  3. (Optional) Select any of the following tabs:
    • Folders: Lists the recent folders that you accessed, and the matter in which they reside.
    • Matters: Lists the recent matters that you accessed with the Recent Matters list displayed by default. Recent Matters displays a list of all matters that contain a document or email you have created, opened, viewed, or modified on in the last 30 days. Select My Matters or Offline to view the other matters lists.
    • Favorites: Lists all iManage items that you saved as your favorites.
    • Browse: Displays the iManage Open dialog box with the Recent Documents tab selected by default.

Select an item in any list to view the iManage Open dialog box. Navigate to the desired document and select Open.

Using the iManage Work panel in Microsoft Outlook

In the iManage Work panel in Microsoft Outlook, you can now open a document by double-clicking it in the list. When you double-click a document, it opens in its native program as it would from Windows Explorer. For example, if you double-click a Microsoft Word document, it opens in Microsoft Word with editing enabled. The following document types are supported:

  • Microsoft Word
  • Microsoft PowerPoint
  • Microsoft Excel
  • Adobe Acrobat

All other type of documents will continue to open in the Preview mode. For information about the panel, refer to Using the iManage Work Panel.
