Applies to: iManage Work Desktop for Windows, Classic Office Integration, DeskSite and FileSite

Either the owner of a document or the user who has full access or read/write access, can invite other users during the co-authoring session by selecting Invite People in the Co-Authoring group, or
selecting the  button in the top-right corner of the screen while editing a document online.

The document owner sharing the document can:

  • Invite an external collaborator only, or also invite an internal collaborator from the same organization.
  • Restrict view only or edit permissions to the external and internal collaborator.
  • Revoke permissions after sharing the document.

iManage Work Desktop for Windows and Classic Office Integration
  1. Open an iManage Work document from your Office application. On the iManage tab, in the Co-Authoring group, select Invite People. The WorkCoAuthoring dialog box appears.
  2. Provide your Office 365 credentials, and select Sign in
  3. In the Editors and Viewers fields, enter the names of users with whom you want to share the document. You can invite external collaborators who are not iManage users, by entering their email addresses.
  4. In the Message field, enter the required text.
  5. Select Share, and then select Yes when prompted to confirm.
    The document is checked out to your OneDrive location, and an email that you can send to the invited users, appears.
  6. Send the email so that other users can participate. Alternately, select Send and File to file the email invite to iManage Work.
    To send the email without reviewing, clear the Review in Outlook check box.

NOTE:

  • In Microsoft Windows 11, when sending out an invite to co-author a document, there is no indication on the Microsoft Outlook icon (Windows taskbar) that the email is waiting to be sent. In this circumstance, open Microsoft Outlook to send the email. 
  • When connected to iManage Cloud servers, when you initiate a co-authoring session for large files (above 5MB), the email invite may take some time to appear. 


DeskSite

  1. Navigate to a document in DeskSite.       
  2. Select the Co-Authoring tab.
  3. Select Invite People.
  4. Provide your Office 365 credentials, and select Sign in.
  5. In the Editors and Viewers fields, enter the names of users with whom you want to share the document. Alternately, select the  icon for these fields to search for the required users. You can invite external collaborators who are not iManage users, by entering their email addresses.
  6. In the Message field, enter the required text. You can invite external collaborators, who are not iManage users, by entering their email addresses.
  7. In the Message field, enter the required text.
  8. Select Share, and then select Yes when prompted to confirm.
    The document is checked out to your OneDrive location, and an email that you can send to the invited users, appears.
    To send the email without reviewing, clear the Preview email before sending check box.

FileSite

  1. Navigate to a document in FileSite.       
  2. Select the Co-Authoring tab.
  3. Select Invite People.
  4. Provide your Office 365 credentials, and select Sign in.
  5. In the Editors and Viewers fields, enter the names of users with whom you want to share the document. Alternately, select the  icon for these fields to search for the required users. You can invite external collaborators who are not iManage users, by entering their email addresses.
  6. In the Message field, enter the required text. You can invite external collaborators, who are not iManage users, by entering their email addresses.

  8. Select Share, and then select Yes when prompted to confirm.

NOTE:

  • The Review in Outlook/Preview email before sending check box is also available for the FinishUnlock, and Request Access features.
  • For some Office applications, such as Microsoft Excel 2016 or earlier, Co-Authoring is available only in the online mode and not in the native application. iManage Co-Authoring supports both online and desktop editing for Excel documents and users can select the method best suited per their organizational requirements. Select Yes when iManage prompts you to open the document online. You can customize this default behavior to ensure that Excel documents open in desktop Excel.
