iManage AI Enrichment keeps your document metadata accurate, current, and aligned with organizational standards, automatically and in the background. This section explains when updates occur, what does and doesn’t trigger them, and how to check when an update was last performed.
In this section:
When does enrichment occur?
The iManage AI Enrichment service automatically updates a document’s metadata whenever you upload or edit (and then close) a document in a library where enrichment is enabled. This process runs in the background and requires no action from you.
NOTE: iManage AI Enrichment won't update metadata while a document is checked out. It also doesn’t retroactively enrich documents that existed before enrichment was turned on. Only new uploads and edited-and-closed documents trigger enrichment going forward. To request enrichment for historic documents, refer to How can historic documents be enriched? in the FAQ.
What triggers an update?
Saving a new version, opening and editing a document, or copying a document runs iManage AI Enrichment if enrichment is enabled and updates relevant enriched metadata.
NOTE: When you copy a document, none of the enriched metadata properties are copied to the new document. Enrichment runs against the copy as a new document once it’s saved.
If a user removes or modifies an enriched value, the system automatically sets the Enrichment Disabled property to Yes for that document version. This locks the enriched values and prevents the document version from being included in future enrichment runs.
To allow enrichment again, a user must manually change Enrichment Disabled to:
Not set (cleared) to resume enrichment immediately, or
No to allow enrichment to run the next time the document is opened or edited.
For more details, refer to Manually editing an enriched property.
What doesn't trigger an update?
Editing non-enriched metadata (properties without the AI icon).
Changing the security of a document version or any other non-enrichment profile fields (for example, Title).
NOTE: Adding or modifying a comment triggers enrichment only for a document that hasn’t yet been enriched. It doesn’t trigger re-enrichment for a document that has already been enriched.
How are updates tracked?
Each time enrichment runs, the following admin properties are updated for the document:
Enrichment Status Code: Shows the result of the enrichment process (for example, success, failure).
Enrichment Version: Indicates which version of the AI model was used.
Enrichment Date: Records the date and time when enrichment was last performed.
If you have questions about when enrichment was last applied or why a property was updated, check the Enrichment Date and Enrichment Status Code in the document properties, or contact your administrator for more details.
NOTE: There are no iManage Work Timeline entries for the enrichment service itself. If a user modifies an enriched field, this is captured in the timeline using the standard “changed profile of version X” text.
Why are automatic metadata updates important?
Up-to-date metadata: Keeping your metadata history current ensures all documents benefit from the latest AI models and classification standards.
Reliable search and filtering: Users can trust that metadata used for searching and filtering is accurate and reflects the most recent document content and standards, supporting reliable reporting and analytics in tools like Insight+.
