Disposition Reviewers are individuals who are responsible for reviewing records to be destroyed in iManage Disposition Manager. They must have an iManage Work account and must have access to the appropriate iManage Work library.
Disposition reviewers are responsible for:
Examining content before it is destroyed.
Making approval decisions about whether content can be safely destroyed or should be retained.
Taking action based on their knowledge of the content and compliance requirements.
All Disposition reviewers should be assigned in iManage Work. We recommend you use the custom3 or custom4 fields in iManage Work to assign Disposition Reviewers. After the custom fields are set up in iManage Control Center, you have to assign the reviewers to the workspace or folder or subfolder in iManage Work. For more information, refer to Setting up custom fields for iManage Disposition Manager.
NOTE: Make sure that you set the disposition reviewers at the same level as the retention ID. For example, if you've applied the retention ID to a folder, the reviewers should be assigned to the same folder.
The next step is to make sure the metadata field containing the Disposition reviewers in iManage Work at cloudimanage.com is mapped in iManage Disposition Manager to the property type Reviewer using the Add Property Mapping option. This makes sure that iManage Disposition Managers look for reviewers from the relevant custom fields in iManage Work at cloudimanage.com. To assign multiple reviewers, map multiple iManage Work custom text fields to the Reviewer property type.
Finally, use the Reviewer Email Notifications option on the Disposition Review Settings page to send email notifications to one or more reviewers responsible for reviewing records to be destroyed. The information is taken from the user’s profile in iManage Control Center.
NOTE: The user profile provided in iManage Control Center should be a valid iManage Work user ID.
Reviewers receive email notifications about pending reviews. They can sign in to iManage Disposition Manager with their iManage Work account details to review tasks and take further action.
If the reviewer or reviewers are no longer available—for example, no longer part of the organization, you can assign additional reviewers directly in iManage Disposition Manager. For more information, refer to Adding additional reviewers when previous reviewers are disabled.
IMPORTANT: When records are destroyed, they're deleted from iManage Work at cloudimanage.com and can't be retrieved or restored. Records aren't destroyed immediately when events to destroy records are created or added to a schedule, or applied to workspaces, folders, or subfolders. Records are destroyed when tasks defined by these destroy events are manually or automatically executed.
