IRM Server provides a method of creating predefined data, which helps users input and manage records more efficiently.

The following metadata types are available in IRM Server:

  • Area of Law: This matter-specific information defines a collection of statutes in a given jurisdiction to which the matter belongs. Predefined areas of law include: Bankruptcy, Divorce, Intellectual property, Labor relations, Litigation, Pro bono, Real estate, Tax & Certified accounting, and Criminal. When creating a new matter in IRM Desktop Client for Records Managers, users can choose from a list of valid areas of law.

  • Denial Reason: Defines a collection of custom reasons for which your organization allows disposition approval to be denied. When an approved reviewer is denying an item for approval in IRM Web Client, they must select one of these reasons. Note that four default reasons are already in place: Legal Hold, Government Investigation, General Investigation, Contents associated with an active matter.

  • Event Types: Defines the type of retention events whether archive, destroy, return, and so on. When creating a new retention event in IRM Desktop Client for Records Managers, users must choose from a list of valid event types. Predefined event types include: Move, Destroy, Return to Client, Archive, Declare Latest Version, Declare All Versions, Destroy All Undeclared Versions, Declare Latest & Destroy Undeclared Versions; and Export.

  • Location Types: Defines the organizational rules for locations. When users create new locations in IRM Desktop Client for Records Managers, they must choose from a list of valid location types. Predefined locations include: Office, File Room, Conference Room, Floor, Building, Warehouse, Enterprise, and iManage Work Library.

  • Media Types: Defines the physical type of record or record container. Predefined media types include Document, Insert, Jacket, Small Box, Large Box, iManage Work Tab, Workspace, Folder, Record, eRecords, External Digital Content. When users create a new box or file part in IRM Desktop Client for Records Managers, they must assign one of these valid media types.

  • Practice Areas: This matter-specific information defines to which of the standard legal practices the matter belongs. Predefined practice areas include: Corporate, Family, Entertainment, Securities, Personal Injury, Priority, and Litigation. When creating a new matter in IRM Desktop Client for Records Managers, users must choose from a list of valid practice areas.

  • Record Status: This information defines the available states which can be applied to a record. These states determine the circulation rules available for a record. The predefined record statuses include: Active, Archived, Destroyed, and Inactive.

  • Relationship Types: This information defines the relationship types that can exist between records. When users include the relationship type for a record from the IRM Desktop Client for Records Managers, they must select one of these defined Relationship Types. The predefined relationship types include: Superseded, Cross-Reference, Supporting Document, iManage Work Related Document, and Electronic Rendition.

  • Transmittal Codes: This information defines the methods that requested items can be delivered.

  • Vendors: This information defines the vendors used to provide boxing solutions. When users are entering box information—for example, from the barcode scanner app or a handheld device, they can assign a Vendor (identifier) for the box. This identifier is prepended to the Box ID to ensure a unique value for each box. Vendor IDs are supported in all iManage Records Manager client applications.

Each metadata type has predefined values which the user can select from. Using Library Manager, you can add additional values to these metadata types.
