To upload data to Records Manager from a mobile computer, some initial setup is required. After this is done, the upload process consists of just a few clicks. Setup and upload are covered in the section below as follows:
Setting up Records Manager to upload data from a mobile computer
To set Records Manager up for mobile upload:
Browse to the <install location>\iManage\Records Manager\Desktop Client\Config folder where <install location> is the local installation directory for Records Manager.
Open BarcodeConfig.xml with a suitable editor.
Adjust the settings as per the following examples:
<AppletParameter name="DeviceName" value="TC21" />: This example applies if you're using a Zebra TC21 mobile device.For TC52, enter "TC52" in the relevant location.
For any other device, enter the the device name here, as per the device name displayed in File Explorer for that device.
<AppletParameter name="DeviceMainStorage" value="\Internal shared storage" />: This example applies if you're using Zebra TC21 mobile device.
For other devices, locate the storage location of the barcode scanner application on the barcode scanner (mobile device).NOTE: To locate the installation location of the barcode scanning application, connect the mobile device to a Windows computer and use File Explorer to locate the drive containing the iManage folder on your mobile device. In the config file, as per this step 3.b., enter the value of the drive location as per how it is displayed in Windows Explorer. You can then safely disconnect the device from the Windows computer.
<AppletParameter name="DeviceDataLocation" value="iManage\Barcode Scanner\data.irmbarcode.txt" />: This example applies to all supported mobile devices.
Save the changes made to the BarcodeConfig.xml file.
You can now proceed to uploading the data. Refer to Uploading data to Records Manager from a mobile computer, below.
Uploading data to Records Manager from a mobile computer
To upload data from your mobile computer (Android device) to Records Manager:
NOTE: Before proceeding, ensure that Records Manager is configured for upload of data from a mobile device. Refer to Setting up Records Manager to upload data from a mobile computer above.
Connect the USB-C (or USB) port of your Android device to the USB port of your desktop computer using a suitable cable.
On your Android device, swipe down from the top of the screen, and select the USB connection notification.
On the Android device, select USB for file transfer using the touchscreen interface.
On the host computer, start the Barcode Scanner Operations application.
In the Barcode Scanner Operations application:
Select Download.
Select Process.
A progress bar and counter is displayed in the window showing the status of the transfer of the data blocks between Android mobile device and the host computer.
When all of the file blocks are transferred (for example, when the counter states '
Received Block 300 of 300'), the transfer is complete.If there are items for which the "Transaction already processed - skipped" message is displayed in the Detail column, you may have old data on the device. This data won't be duplicated in iManage Records Manager, but to avoid the build-up of files on your device and future messages of this type, you can delete these outdated files.
NOTE: The "Transaction already processed - skipped" is a caption (with ID: TransactionAlreadyProcessed) which can be, or may have been modified by your organization in iManage Records Manager Application Designer. For more information about modifying captions in IRM Application Designer, refer to iManage Records Manager Application Designer User Guide.
Depending on your device configuration, you can do this:
After disconnecting the device, as described in Step 6 below.
At any time, by manually clearing the data from the device as described in Data clearance options.
The collected data is automatically processed by the Records Manager server. Unless an error occurs, the information for each file part or box is automatically updated.
Safely disconnect the Android device from the host computer.
For information about how to do this in your version Windows, refer to Microsoft documentation.You may be prompted to clear data—for example, if your organization has a security policy that restricts write access to external devices and which would in turn prevent the device data being cleared.
The “Do you wish to clear all previous transactions from device?” message is displayed.
Select Yes or No as required.
TIP: Selecting Yes deletes the data from the mobile computer. After you've processed the data per Step 5 above, the data is saved on the Windows computer running the Barcode Scanner Operations program. If the data needs to be reprocessed for any reason, it can be done using the saved data. For more information, refer to Reprocessing Data with Records Manager.
