iManage content that is filed in the Records Manager file plan is classified as follows:

  • Workspace: The iManage Records Policy Service automatically creates a file part of media type “WS Workspace” representing the iManage workspace. The workspace is filed within a matching client and matter based on the Client (Custom 1) and Matter (Custom 2) classification in iManage.

  • Folder: The iManage Records Policy Service automatically creates file parts of the media type “WS Folder” representing each folder within a workspace. The folder is filed irrespective of whether it contains declared content.

NOTE: Undeclared content isn't filed in the Records Manager file plan. However, if a folder is destroyed in Records Manager through disposition processing, undeclared content within it is also destroyed during disposition.

  • Declared Document Version: The iManage Records Policy Service automatically creates file parts of media type “WS Record” representing document versions that are declared as records in iManage. Undeclared document versions aren't filed in the Records Manager file plan.

NOTES:

  • A requirement for inclusion in the file plan is that every document should be profiled and classified in a workspace and folder.

  • A best practice is to follow a matter-centric collaboration (MCC) design in iManage to the extent that every document in iManage Work is filed into a folder/workspace.
