When physical containers are full, additional containers are added to accept additional inserts. To reorganize or divide file parts between containers, the application provides the Move action.

Rules to move a file part

The following rules are applicable when moving a file part:

  • The target matter or file part must be able to accept the file part based on its media type.

  • The record's status shouldn't be Destroyed.

  • The target matter or the file part mustn't have a retention hold applied on it.

  • If the file part is in a box limited to a client or matter, it can't be moved to a different client or matter.

To move file parts:

  1. In the Navigation pane, select the Records tab.

  2. Search or browse for the file part(s).

NOTE: Ensure that the rules mentioned in Move File Parts#Rules to Move a File Part are followed before moving a file part.

  1. Right-click the file part(s), and select Move. The Move Records dialog opens.

  2. In the Target Matter or File Part field, select the  icon and select the new parent for this file part.

    1. Select the  icon and select the new parent for this file part.
      Alternatively,

    2. In the text entry field, enter the matter (or file part) ID path of the new parent for this file part.

  3. (Optional) In the Change Security Policy to field, select the  icon and assign a new security policy for this file part.

NOTE: If you're moving a batch of file parts, the same security policy is assigned to all file parts.

  1. If the new parent contains file parts, there's a possibility of duplicate file part IDs between the existing file parts and those being moved. Choose how to handle the moved file parts:

    • Skip the Record; Do not Move: If the application detects a file part ID conflict in the new parent, the file part isn't moved. File parts that don't have an ID conflict are moved.

    • Automatically Assign a New ID: (Default) The application automatically generates a new file part ID for any of the moved file parts.

  2. Select Process. The Results pane displays a list of the results of the action on each file part.
    If a problem is encountered with a particular file part when moving a batch of file parts, due to noncompliance with a rule mentioned in Rules to Move a File Part, the file part isn't moved, but the rest are successfully moved.

NOTE: File parts inherit the Home Location and Office/Department from the target matter or file part after moving. Depending on the setting configured in Library Manager, file parts may also inherit the retention schedule from the target matter or file part after moving. Contact your application administrator for more information.
