Overview

Filters are available throughout IRM Web Client to refine a displayed list or a dashboard chart. This section lists all the filters available.

Filters have a set of options for the user to select from. Some filters also support a search input field so that a specific value can be looked up. Additionally, some filters support configuration to allow the user to choose the set of options presented and to select the default filtering. Filters can be pinned if required.

Visibility of filters

For a particular list, chart type, or advanced search result, only applicable filters are available. Select the Filter button to view filters.

The filters available to a given user depend on the privileges granted to that user. If privileges aren't granted for a particular filter, that filter won't be visible to the user.

The number of active filters is shown on the Filters button. You can also configure which filter groups are shown. Refer to Customizing filter group visibility.

You can also customize which filter groups are shown on a page—for example, to remove filter groups that you use less frequently.

  1. Select the icon beside the Pin or Unpin button.

  2. In the Filter Settings dialog, use the sliders to Add or Remove filter groups. You can also Add all and Remove all.

NOTE: Filter groups, which are essential for the functioning of the page—for example, Item Type on the Disposition Eligibility page, can’t be removed.

  1. Select OK.

If required, reset filters back to default, by selecting Reset to Default in Step 3 above.

Filters and reports

If you add filters to a list from which a report can be made, like Label Queue, the filters are added to the report. You can remove them for each case.

Resetting filters

To reset filters on a particular page (excluding the Dashboard page), select Reset, which is available:

  • Beside the applied filter boxes at the top of a list.

  • At the top of the main filter panel.

Responsible Attorney

Filters based on the Responsible Attorney.

Approval Status

Filter disposition-eligible items by their approval status:

  • Pending

  • Approved

  • Denied

    • Denied - Legal Hold

    • Denied - Government Investigation

    • Denied - General Investigation

    • Denied - Contents associated with an active matter

    • Denied - Custom reason, if applicable

  • Not Required (that is, approval requirement not set for the item)

  • All

Practice Area

Filters based on the practice area, for example:

  • Corporate

  • Entertainment

  • Litigation

  • Securities

Created Date

Filters based on the following criteria for date created. Values can be edited for these filters:

  • Last (7) days

  • Last (5) calendar weeks

  • Last (6) calendar months

  • Last (6) calendar quarters

  • Last (6) calendar years

  • Date bands, to include any combination of the following:

    • Today

    • 1 to 7 Days

    • 8 to 30 Days

    • 31 to 60 Days

    • 61 to 90 Days

    • More than 90 Days

  • All

Filters by:

Circulation Date

For checked-out records, filters are based on the following criteria for the date circulated. Values can be edited for these filters:

  • Last (7) days

  • Last (5) calendar weeks

  • Last (6) calendar months

  • Last (6) calendar quarters

  • Last (6) calendar years

  • Date bands, to include any combination of the following:

    • Today

    • 1 to 7 Days

    • 8 to 30 Days

    • 31 to 60 Days

Media Type

Filters based on media type, for example:

  • Insert

  • Jacket

  • All

Note that on the Disposition Eligibility page, items available in this filter reflect the selection for Physical / Electronic filter.

Record Status

Filters based on records status, for example:

  • Active

  • Archived

  • Inactive

  • All

Record Type

Filters Physical Record Type—for example, Correspondence.

Circulation Status

Filters based on the following statuses:

  • In

  • Out

  • Out to Me or Out to User

  • All

Priority

Filters based on priority, for example:

  • Rush

  • Standard Delivery

  • All

Completed Date

Filters based on date of completion of delivery request. Values can be edited for these filters:

  • Last (7) days

  • Last (5) calendar weeks

  • Last (6) calendar months

  • Last (6) calendar quarters

  • Last (6) calendar years

  • Date bands, to include any combination of the following:

    • Today

    • 1 to 7 Days

    • 8 to 30 Days

    • 31 to 60 Days

    • 61 to 90 Days

    • More than 90 Days

  • All

Handling Duration

Filters based on the time elapsed since a request was made, for example:

  • Less than 1 Hour

  • 1 to 2 Hours

  • 24 to 48 Hours

  • More than 1 Week

Request Status

Filters by the current status of a delivery request, for example:

  • Pending Approval

  • Request: In Progress

  • Warehouse: In Transit

Requested For

Filters based on the following criteria:

  • <Username>

Filters based on who made the request.

Assigned To

Filters based on who the request is currently assigned to, for example:

  • Unassigned

Filters based on the following criteria:

Home Location

Filters based on Home Location.
Note that to browse iManage Work servers, the View Federated Records privilege is required. For more information, refer to iManage Records Manager Administration Guide.

Item Type

Filters between records and boxes.

Print Status

On the Label Queue, filter out items which have already been added to a report to help manage which items the user has already generated a report for.

  • In Label Queue - all items not yet generated in a report

  • In Report Queue - all items already generated in a report

  • All

Favorite Type

Filter the My Favorites page by:

  • Client

  • Matter

  • Record

  • Box

  • All

Event Type

Filters Disposition Eligibility based on the following criteria:

  • Destroy

  • Find Event type:

    • Archive

    • Declare all versions

    • Declare latest and destroy undeclared versions

    • Declare latest version

    • Destroy

    • Destroy all undeclared versions

    • Export

    • Move

    • Return to client

    • <Custom event>

Eligibility Date

The Eligibility Date for disposition is set to Overdue by default.

It filters Disposition Eligibility based on the eligibility date range specified:

  • Overdue: This includes any items eligible for disposition before the current date and time.

  • Next (5) calendar weeks: The range is from the start of the current week to the end of the last specified week. The value is editable.
    NOTE: The day on which the week starts is determined by the locale setting for your device.

  • Next (6) calendar months: The range is from the start of the current month to the end of the last specified month. The value is editable.

  • Next (6) calendar quarters: The range is from the start of the current calendar quarter to the end of the last specified calendar quarter. The value is editable.

  • Next (6) calendar years: The range is from the start of the current year to the end of the last specified year. The value is editable.

  • Date Range: Select the date range using the From and To options; either can be left blank.

  • All

Retention Schedule

Filters Disposition Eligibility based on the specified criteria:

  • All

  • Find Retention Schedule, for example:

    • Return to client

Client/Matter

Filters Disposition Eligibility items on the specified client/matter criteria:

  • All

  • Find ClientID.MatterID

Physical/Electronic

Filters Disposition Eligibility items on the specified format:

  • Physical Records

  • Electronic Records

  • All

Note that this filter is disabled when Item Type filter is set to Box.

Office/Department

Filters based on the office or department location per the following criteria:

  • All
