Delivery requests for file parts can be created, tracked, and managed in IRM Web Client. This section describes the following functionality:

Creating Delivery Requests for File Parts

TIP: If electronic renditions are available for any of the file parts you have browsed to, a label displays stating Some items below have electronic renditions available. A label Electronic Rendition Available in the row of an item also indicates the presence of electronic renditions for that item. In such case, the electronic rendition(s) can be viewed directly, and it may not be required to request the item. For additional information, refer to Viewing Electronic Renditions in IRM web client.

  1. Select a file part, select the  icon, and then select Delivery Request.

NOTE: You can also create Delivery requests by using multiselect action. For more information, refer to OLD-Multiselect in IRM Web Client.

  1. In the New Delivery Request dialog, enter the required values in the following fields:
    NOTE: The fields described below are displayed by default in the Delivery Request dialog. Some of these fields may be absent, or additional fields may be present, in your Delivery Request dialog box per the configuration implemented by your system administrator. In turn, any restrictions on the case of text entry characters may also be the result of the configuration specified by your system administrator.

    • Requested for: With this field you can specify the user that you are making the request for.
      NOTE: You can make requests on behalf of other users only if your system administrator has granted you the relevant privileges. If ‌privileges aren't granted, the Requested For field is populated by the current user and isn't editable.

      • To make a request on behalf of another user:

        1. Select the Requested for field.

        2. Select to remove the current user (populated by default) from the field.
          A drop-down with the following two tabs is displayed:

          • Recent: below this tab is a list of recent users selected (if any).

          • All Users: below this tab is a list of all users available for selection.

        3. Select the user that you want to make a request on behalf of.

        4. If you wish to change the user you are making the request for, select to remove the user from the Requested for field. Then select another user.

    • Deliver To Location: If the current user has a home location, this is displayed and can be adjusted. Selectand then select the location where this file part should be delivered.

    • Priority: Selectto select how this item should be delivered.

    • Delivery Request Instructions: Enter any special instructions for the delivery of this item.

    • Items Selected: If you are creating a new delivery request for multiple items using a multiselect action, the items you've selected are displayed at the bottom of the New Delivery Request dialog.

      • If you wish to remove any of the selected items:

        1. Select the  icon in the row of the item you wish to remove.

        2. Select Remove Selected Item.

        3. Repeat Steps a and b for any additional items that you want to remove.
          NOTE: If the selected item has a parent file part or is located inside a box, these are listed at the bottom of the dialog. Select one of these to change the item that's requested‌. For example, for a file part within a box, the containing box is shown as an option on the Delivery Request dialog. Selecting this requests the whole box.

  2. Select Complete Request.

Viewing Pending Delivery Requests

To view the list of pending delivery requests, select Requests on the navigation bar. The PENDING tab of the Delivery Requests page is displayed.

TIP: You can also create a dashboard chart showing pending delivery requests. Refer to Creating a Dashboard chart from a filtered list.

Viewing Completed Delivery Requests

To view the list of outstanding delivery requests:

  1. On the navigation bar, select Requests.
    The PENDING tab of the Delivery Requests page opens.

  2. Select the COMPLETED tab.

TIP: You can also create a dashboard chart showing completed delivery requests. Refer to Creating a Dashboard chart from a filtered list.

Viewing the Properties of a Delivery Request

To view the Properties of a Delivery Request:

  1. Select the delivery request.

  2. Select the  icon.

  3. Select Properties. 
    Delivery Request properties are displayed on the right side of the page in the Details panel.

Canceling a Delivery Request

  1. Select the Delivery request, select the  icon, and then select Cancel Delivery Request.

NOTE: You can also cancel delivery requests by using multiselect action. For more information, refer to OLD-Multiselect in IRM Web Client.

  1. In the confirmation message, select Confirm to cancel the request.

Filters

You can filter the delivery request lists as required. For more information, refer to Filters.

Creating a Dashboard chart from a filtered list

You can create a dashboard chart from the list of items displayed. Any filters applied to the list are retained in the chart creation dialog. Refer to Dashboard > Saving existing lists as dashboard charts.
