Starting a co-authoring session
You can send a file to other users who have an iManage Work account for co-authoring the file, if:
- You have read/write or full access to a Microsoft Office file saved in iManage Work.
- You have created a new file in a folder using Microsoft Office for the web.
With the integration of Microsoft Office for the web, when you check out a file for editing, the checkout isn't explicit. As a result, other users who have iManage Work and Microsoft Office 365 accounts and have read/write or full access to the file can sign in to iManage Work and open the file in edit mode and co-author the file.
You can copy the URL from within the editing session in Microsoft Office for the web and send it to the other users. These users can sign in using their iManage Work and Microsoft Office 365 accounts and start editing the file using Microsoft Office for the web.
Additionally, you can also select the file and browse to Copy > Copy Link and share the copied file link with other users.
You can use the Edit using Microsoft Office for the web option available in Preview to edit the file.
Co-authoring files when users don't have access to workspace or folder
Let’s consider a scenario where users have access to a file but don't have access to the workspace or folder in which a file is saved and you send the file for co-authoring by doing the following:
Browse to the folder in which the file is saved.
Open a file for editing in Microsoft Office for the web.
Copy the URL from the document editing session.
Send the URL to users.
If the URL contains workspace and parent IDs, the "Internal Server Error. An unexpected error occurred, we couldn't complete your request." error is displayed when the users try to open the file.
To resolve this issue, doing one of the following:
- Provide read/write access to the workspace and the parent folder where the file is saved to ensure that users can edit the document.
- Remove the following information workspace id=<details>&workspace_name=&parent id=<details>&parent_name from the link if you can't provide access to the workspace and folder in which the file is saved. Removing the workspace ID and parent ID details allows users to edit the document using Microsoft Office for the web.
Alternatively, if you select the file and browse to Copy > Copy Link and then share the copied link with users, the link will open in the application defined as the default in iManage Control Center—for example, Preview or iManage Work Desktop for Windows.
