There are two ways to assign tasks to users in iManage Tracker: You may assign tasks individually or in bulk, to a maximum of five assignees.

NOTE: You can assign tasks to one or more users from:

  • Checklist view

  • My tasks view

  • Details pane

  • Add document as task window

  • Global add task window

  • For imported tasks

Assigning tasks individually 

You can assign tasks in a checklist to any user who has access to the checklist, that is, users and groups added to the access control list (ACL) for the matter that contains the checklist. For a public matter, any user in iManage Work can be assigned a task in the checklist.

Users who don't have access to the checklist are considered external users. They're allowed to view only their tasks but not the entire checklist. The following confirmation message is displayed when you try to assign tasks to external users.

NOTE: If any changes are made to the matter ACL while you're accessing the checklist, a message displays instructing you to refresh the checklist. Select .

Any user with Read/Write access or Full access may assign tasks to other users or to themselves by doing the following: 

  1. Select the Assignees column for the task.

  2. In the search field, type one or more character of the user's or group's name.

  3. Select the desired user or group from the search results.
    The assignee column displays a thumbnail of the photo if available; otherwise the initials of the first name and last name are displayed within a circle. For groups, the image-20250514-055110.png icon is displayed and the name appears when users hover over the icon. If the name of a group or user is too long to be displayed fully in the search result list, you can hover over the name. A tooltip displays the complete name so that you can confirm and select the correct name.

NOTE: The users under Recent Assignees in the Assignees drop-down list are the users who were assigned tasks recently. You can select a user from this list or type the name of the user in the text field.

Assigning tasks individually to multiple users

The multiple-assignee feature allows you to assign a task to multiple users at the same time. There are different ways to assign a task to multiple users. In the Checklist view, select Assignees for the task you want to assign users to. Enter the names of users in the text field and use the Enter key. You may also select the name of the user from the list of assignees.

Changing/removing task assignee

Hover the mouse pointer over the Assignees column for the task, select the assignee, and:

  • To remove the assignee: Select Assignees for the task for which you want to remove the assignee. Select image-20250423-065603.png next to the name of the assignee. Alternatively, you can also press the Backspace key.

  • To change the assignee: In the search field, type one or more letter of the required user's or group's name and select the desired option from the search results.

Bulk assignee for tasks 

The bulk assignee feature helps you select or change an assignee for multiple tasks simultaneously. The bulk assignee feature is available in the checklist view.

After you've selected multiple tasks, select Assign from the top menu. A list of assignees drops down and you can select an assignee from the list or by using the search bar.
