A file is considered checked-in or a co-authoring session is considered complete when all the collaborating users complete editing a file and:
Close the browser window/browser tab in which they've opened the file.
Close the file if they have opened it in Microsoft 365 for the desktop applications.
Close the file if they have opened it in:
Microsoft 365 applications for iOS
The Microsoft Word, Microsoft Excel, or Microsoft PowerPoint for iOS apps.
If you’ve started the co-authoring session from iManage Work app, then selecting the close button at the top closes the session and you're returned to the iManage Work app.
Additionally, if a file is opened in a combination of Microsoft 365 for the web, the Microsoft 365 applications for the desktop (Microsoft Windows, iOS, or macOS devices), or relevant Microsoft 365 application for iOS devices, all the instances in which the file is opened should be closed.
At this point in iManage Work at cloudimanage.com, the red globe icon is no longer displayed for the file that was co-authored.
NOTES:
When co-authoring files on an iOS device, use the < button (highlighted in the following screenshot), to close the file. When you select the arrow that is displayed next to iManage Work, the focus shifts back to iManage Work app and the file doesn’t close and it remains checked out.
Figure: Using the back button in Microsoft WordMicrosoft runs background checks to make sure a co-authoring session is fully completed by all users. This may cause a slight delay in the file being shown as checked-in in iManage Work at cloudimanage.com after the last user has ended the co-authoring session.
If you leave your file open in Microsoft 365 for the web without making any edits for a certain time as mentioned below, then your editing session times out and you can no longer edit the file. If this happens, to continue editing the file, reload your browser or the browser tab in which you've opened the file using Microsoft 365 for the web. Alternatively, close your browser or browser tab in which the file is open and then start a new editing session.
Expected inactivity period that causes your browser session to expire, which is controlled by Microsoft:Microsoft Word: Up to 2.5 hours
Microsoft Excel: Up to 2 hours
Microsoft PowerPoint: 15 minutes
