In Configuration > Roles, selecting a user from the Users/Groups tab opens its User Details page. This page shows the user’s basic information (sourced from iManage Work), the groups they belong to, and the roles assigned to them. Use it to review the user’s access, see which groups they’re in, or assign additional roles directly from this page.

Page layout

At the top of the User Details page:

  • User name is displayed

  • An account status icon is displayed: blue icon = user is active; gray icon = user is disabled

  • The account status is retrieved from iManage Work

To return to the main Roles dashboard:

  • Select the back arrow beside the user icon, or

  • Select the Roles button at the top of the page

Details tab

The Details tab displays basic information about the user. All fields are read-only and retrieved from iManage Work; they cannot be modified in iManage Threat Manager.

Fields displayed

  • Full Name

  • User Name

  • Is External

  • Account Status (blue icon = active; gray icon = disabled)

  • Email Address

  • Location

Additional properties

Depending on what metadata has been imported from iManage Work, additional properties may be displayed, such as:

  • Manager

  • Department

  • Practice Area

  • Additional Locations

  • Telephone

  • Job Title

Groups tab

The Groups tab lists all groups that the user belongs to.

Page layout and features

The Groups tab contains a table that displays:

  • Group name

  • Account status (blue icon = active group; gray icon = disabled group)

Sorting

  • The list is sorted by Name in ascending order by default

  • To change the sort order, select the column header

Column visibility

  • To hide the Account Status column, select the column settings icon at the top right of the table

  • The Name column is always displayed and cannot be hidden

  • Columns currently being used to sort cannot be hidden

Filtering

  • Use the search bar to filter by group name or ID

  • Select Filter to filter by account status (All, Enabled, Disabled)

Task: View group members

To see which users are members of a group:

  1. Go to Configuration > Roles, select the Users/Groups tab, and select a user to open the User Details page.

  2. Select the Groups tab.

  3. Select View Members beside the group name. A scrollable tooltip displays all group members.

To view a specific member's details, select the member's name in the tooltip. The User Details page opens for that user.

Task: Open a group's details page

To view all information about a group, including its members and assigned roles:

  1. Go to Configuration > Roles, select the Users/Groups tab, and select a user to open the User Details page.

  2. Select the Groups tab.

  3. Select the group name. The Group Details page opens. The Group Details page displays for the selected group.

Roles tab

The Roles tab lists all roles assigned to the user. This includes both roles assigned directly to the user and roles inherited through group membership.

Page layout and features

The Roles tab contains a table that displays:

  • Role name

  • Role description

Sorting

  • The list is sorted by Name in ascending order by default

  • To sort by Name or Description, select the column header

  • Select the same column header again to toggle between ascending and descending order

  • An arrow next to the column header indicates the sort direction: up arrow = ascending; down arrow = descending

Filtering

  • Use the search bar to filter by role name

Column visibility

  • To hide the Description column, select the column settings icon

  • The Name column cannot be hidden

  • Columns currently being used to sort cannot be hidden

Role assignment types

  • Direct assignment: Role is assigned directly to the user

  • Inherited from group: Role is inherited through group membership. This is labeled "Inherited role from group" in the list

  • Both direct and inherited: If the user has both a direct assignment and an inherited assignment for the same role, it displays as a direct assignment

  • After removing direct assignment: If a role was assigned both directly and through a group, and you remove the direct assignment, the role reverts to showing as "Inherited role from group"

Task: Add roles to a user

Assign one or more roles to a user to grant access to application features. Once roles are assigned, the user immediately has access to the features associated with those roles, and the roles appear on the user's Roles tab.

  1. Go to Configuration > Roles. The Users/Groups tab displays by default.

  2. Use the search bar to locate and select the user.

  3. Select + Add Role. The Add Roles dialog opens, showing roles that can be assigned.

  4. Select the roles to assign:

    • Select a row to highlight it

    • Select the row again to deselect it

    • Select the checkbox beside Name to select all roles

    • Select Deselect (appears after at least one selection is made) to clear all selections

  5. Select OK to assign the selected roles, or Cancel to discard changes. To close the dialog without saving, select the X.

The selected roles are assigned to the user. The roles now appear on the user's Roles tab in the User Details page.

IMPORTANT:

  • Roles already assigned directly to the user do not appear in the list of available roles

  • A user can have multiple roles

  • You can assign additional roles to yourself using the same procedure
