About Compliance > Trending

The iManage Threat Manager Compliance > Trending dashboard allows you to track active users, individual activities, and overall engagement with iManage Work. You can create up to 20 charts on the Trending dashboard to visualize:

  • One or more individual activities from over 25 audited activities, including: document creation, email filing, record declaration, check-in, check-out, export, iManage Drive sync, Workspace creation, and more

  • Overall engagement with iManage Work across the organization, by office location, or by department

  • The number of active or inactive users across the organization, by office location, or by department

These Trending charts enable you to, for example:

  • Understand adoption patterns across departments, practice areas, job function, or office locations

  • Gauge whether key processes for managing sensitive content are functioning as expected. For example, record declaration, content disposition, use of approved tools such as iManage Share for external file-sharing, and iManage Drive adoption)

Charts are editable, allowing you to refine filters such as user selection and time period. All trending data can be downloaded in CSV format.

Chart types

The charts available for Trending reports include Activity Trending, Active Users, and Size of Imported Content.

Activity Trending chart

Track one or more user activities over time. By default, all activities from the compliance-indicating activity set are selected.

Chart formats:

  • Line Chart

    • Displays a separate trend line for each selected activity.

    • Each point represents the number of unique documents acted on by each user per month.

    • Helps visualize iManage Work adoption and activity patterns.

    • The Total Activities line shows the total number of audits generated for all selected activities, regardless of document uniqueness. For example, if a user exports the same document 10 times in one month:

      • The activity line shows 1 (one unique document).

      • The Total Activities line shows 10 (ten export audits for the same document).

  • Bar Chart (Vertical or Horizontal):

    • Shows user or group adoption trends over time.

    • Useful for comparing engagement levels by user, department, or office. This gives insight into the level of engagement with iManage Work.

Active Users chart

Monitor user activity levels by classifying users as active or inactive each month.

Recommended chart format: Bar Chart (Line Chart is also supported).

  • Use Total Activity Count to define user active/inactive status.

  • Select the operator: >= (greater than or equal to) or <= (less than or equal to).

  • Enter the number of activities per month to set the threshold.

  • Counts are based on selected activities and calculated monthly per user.

Size of Imported Content chart

Visualize the volume of content imported into iManage Work.

Chart formats: Line Chart (default), Vertical Bar, or Horizontal Bar

Automatically tracks:

  • Total size of imported content

  • Number of imported documents and versions

  • Filed emails

  • Purged content

Tooltips provide context. CSV downloads include full metric details, in addition to the chart’s summary view.

No activity filter is required; relevant content-based actions are automatically included.

IMPORTANT: Supervised import (through API) considerations

Supervised import mode generates two entries in the iManage document history table: one attributed to the Admin who performed the import action, and one to the original user who performed the document activities. Both entries share the same document ID. This behavior is by design and can't be changed.

To ensure accurate reporting and compliance tracking:

  • To avoid inflated metrics, exclude Admin users from the Compliance > Adoption Report, Matter Activity > Reports, and Trending Charts (when trending the Size of Imported Content).

  • The Content Created Size metric may be overstated due to duplicate entries generated by Admin activity during supervised imports.

  • To exclude Admin users from report metrics, use the Global Exclusions List or configure report filters to omit their activity.

  • To accurately reflect user activity in compliance audits, run a Compliance Adoption report with Admin users excluded.

Activity count calculation

When you generate adoption reports (Compliance > Adoption Report) or activity trending charts (Compliance > Trending), iManage Threat Manager calculates the Total Activities count in a way that avoids duplication between related activities.

Some activities in Threat Manager are structured as parent-child pairs. For example, Export is a parent activity that includes child activities such as Export from DMS and Download to Mobile.

  • If both the parent and its child activities are selected in the activity set, Threat Manager includes only the parent activity in the Total Activity count to prevent double-counting.

  • If only one (parent or child) is selected, Threat Manager counts that selected activity.

  • Regardless of what is counted in the total, individual activity counts are still shown in the report or chart for both parent and child activities.

You select which activities to include using the Add/Remove Activities dialog when setting up the report or chart.

Access Compliance > Trending

To access the Trending feature, go to Compliance > Trending from the iManage Threat Manager Home screen or navigation bar.

NOTE: You need the Investigator role to create a Compliance > Trending chart.

When you first open the Compliance > Trending dashboard, two default charts are displayed:

  • Trending Adoption for Last 6 Months: An Activity Trending line chart including all users (excluding the Global Exclusions List) with the compliance-indicating activity set selected.

  • Trending Active Users for Last 6 Months: An Active Users bar chart with similar criteria.

NOTE: If you're using iManage Threat Manager for the first time after installation, the charts may appear blank until enough data has been ingested. You can refresh the charts periodically. A message will notify you when data is still being processed.

If you have already created charts, these will be displayed on the dashboard. You can create and display up to 20 charts.

View Compliance > Trending charts

To view Trending charts, browse to Compliance > Trending.

You can add up to 20 charts. For line charts, use the legend to show or hide specific activities by selecting or deselecting them.

Add a Trending chart

Users with the Investigator role can create charts.

  1. Browse to Compliance > Trending and select Add Chart.

  2. In the Add Chart screen:

    1. Under General, enter a Chart Name.

    2. Under Data, choose one of the following chart types:

      • Activity Trending

      • Active Users

      • Size of Imported Content

Edit Compliance > Trending charts

  1. On the Compliance > Trending page, select the three dots icon at the top right of a chart.

  2. Select Edit from the drop-down menu. The Edit page opens with the same options available when adding a chart.

Refresh Trending chart data

Trending chart data is refreshed daily, or whenever a chart is created or edited. You can also manually refresh charts from the Compliance > Trending page.

NOTE: When a chart is created or refreshed, a background process updates all charts. A message appears at the top of the page while this is in progress.

Manually refresh chart data

  1. On the Compliance > Trending page, select the three dots icon at the top right of a chart.

  2. Select Refresh from the drop-down menu.

    The chart data for all charts is refreshed.

Set chart filters

  1. Select a Date Range. Choose a predefined Date Range or set a custom one.

  2. Select Users & Groups to Include or Exclude. By default, all users are included and the Global Exclusions List is excluded.

    • To include users or groups:

      1. In the Inclusion panel, select Edit.

      2. In the People to Include dialog:

        • Search or filter users and groups.

        • Select or deselect entries using check boxes or by clicking rows.

        • Hover over the View Members icon to see group members.

        • Select View selected to review your selections.

      3. Select OK to apply changes or Cancel to discard.

    • To exclude users or groups:

      1. In the Exclusion panel, select Edit.

      2. In the People to Exclude dialog:

        • Search or filter users and groups.

        • Select or deselect entries using check boxes or by clicking rows.

        • Hover over the View Members icon to see group members.

        • Select View selected to review your selections.

      3. Select OK to apply changes or Cancel to discard.

  3. Select Activities (applies to Activity Trending and Active Users charts). By default, a compliance-related activity set is applied. To customize the activity set:

    1. Under Selected Activities, select Edit.

    2. In the Add/Remove Activities dialog:

      • Optionally use Select Activity Set to choose from default or saved sets.

      • Use check boxes to include or exclude specific activities.

      • Use Select All if needed.

    3. Select OK, then Update to apply the changes.

  4. Save the chart. The chart will appear in the Compliance > Trending dashboard.

Download chart data

You can download chart data in CSV format.

  1. On the Compliance > Trending page, select the three dots icon at the top right of a chart.

  2. Select Download as CSV from the drop-down menu. The download begins.

The Compliance > Trending chart data is downloaded to your local file system in CSV format. It includes all data within the chart’s scope.
