Save as PDF

The Save as PDF option enables you to convert your Microsoft Word, Excel, PowerPoint, Visio, and MS Project document to PDF format with your custom settings and save it to iManage Work by performing a single procedure. If you choose to save the PDF as a version of a document that exists in iManage, you are informed that the latest PDF version is available the next time you try to open the document.

To save a document from your system to iManage Work as PDF:

  1. Select the iManage tab.

  2. In the File group, on the iManage ribbon group, select Save as PDF. The Save As PDF Options dialog box appears.

    NOTE:

    To reduce the file size, the adobeconversion option can be enabled to use the Adobe convertor for saving documents as PDFs to iManage Work. For more information, refer to the adobeconversion option under "Additional options" in the imWorkOptions.xml section in iManage Work Desktop for Windows Customization Guide.

  3. Select the PDF options and select OK. The Save As dialog box appears.

  4. Navigate to the iManage folder where you want to save the PDF.

  5. In the New Document Properties pane, enter the document properties and select Save.

  6. The PDF document opens. A number and version number is added to the document name indicating that the document is saved to iManage Work.

NOTE:

To save your changes to the original iManage Work document, select Save and Sync or Save as New Version.

To save a document in iManage Work as PDF:

  1. Select the iManage tab, and in the File group, on the iManage ribbon group, select Open. Alternatively, open the iManage document using the backstage menu. For more information, see Opening a document.

  2. Select Save as PDF. The Save as PDF Options dialog box is displayed.

  3. Select the PDF options. Under Document Options, the New version option is selected by default.
    (Optional) To save the PDF as a separate document, select New document. The Related to original check box is enabled. Select this check box to ensure that the two documents are related to each other and the related document is listed under Properties > Related Documents.

  4. Select OK.

    • If you selected New version, the New Version dialog box is displayed. Enter the document properties and select Save.
      The version is saved, and the PDF opens with the version number updated. For example, if the number of the original document was 245679.1, it changes to 245679.2.
      The next time you or another user tries to open the original document, a dialog box is displayed informing you that the latest version is a PDF and you are prompted to open it. Select Latest version to open the PDF. Alternatively, select the document in an iManage dialog box, select the Versions tab and then select the PDF version to open it.
      The Preview tab also displays a message that a more recent version is found. Select View Latest, and then Yes on the confirmation dialog box to open the PDF version in its native application.

    • If you selected New document, the Save As dialog box is displayed. Navigate to the folder where you want to save the document, enter the details in the New Document Properties pane and select Save.
      The new PDF is saved to the specified location, a new document number is assigned and the version number is 1. The PDF opens.

NOTE:

If the PDF is saved as a new document, it may not be displayed in the document list, as the Type filter is set to show only the files in the native format by default. For example, if you try opening iManage documents from Microsoft Word, the File Type filter is set to All Word Documents. Change the value to All (*.*) to view the PDF documents in the selected iManage container.
